We are looking for a friendly and welcoming Receptionist to join our company. This role is responsible for being our visitors' first point of contact. It will be your foremost responsibility to warmly greet all incoming guests and employees. Other responsibilities include transferring phone calls to the appropriate contact using the company's phone system, handling receptionist duties, and various clerical and support tasks.
Duties & Responsibilities:
- Greets customers, vendors, and visitors to the Company promptly and professionally
- Operates a phone system with multiple incoming phone lines and extensions.
- Answers outside and internal telephone calls in a prompt, courteous and professional manner. Takes messages as needed for Company personnel. Takes messages off the Company voice mail system and distributes same accurately to the appropriate Company personnel.
- Operates paging system to page individuals and make general announcements.
- Determines and distributes International and Domestic Customer Service calls through Call Management System based upon information provided by caller. Handles and distributes all requests for general information including Company's Inquiry inbox.
- Manages the daily welcome screen in main lobby and ensures the visitor log is maintained and accurate.
- Maintains and organizes the phone directory and phone panel so that transfers are accurate.
- Trains personnel on phone system to include phrasing, board operation, proper caller greeting, etc.
- Communicates as needed with the telephone administrator to determine, troubleshoot, and resolve console/system problems resulting from problems, complaints, and occurrences affecting calls.
- Provides clerical support to all Departments as needed or directed.
- Communicates to supervisor when back-up or relief is needed in a timely manner
Qualifications & Requirements:
- High School Graduate. Some College experience or associate degree in business preferred.
- One to two years of receptionist and/or customer relations experience (working knowledge of ESI system is a plus). Previous data entry experience required.
- Ability to use a computer and applications such as Microsoft Word and Excel.
- Excellent verbal and written communications experience.
- Effective customer service experience in order to respond to customer needs and requests for service and assistance
- General knowledge of computers and Windows operating environments.
Schedule:
- Fulltime
- Monday-Friday 8:00 AM-5:00 PM
