Job Overview:
A professional who supports management and colleagues in an organization by taking care of customer service and clerical tasks. Their duties include greeting and assisting visitors, handling paperwork signatures, scheduling, filing, document management and various other day-to-day tasks. Overall ensures that things run smoothly in the site.
Duties and Responsibilities:
Taking care of front-of-house duties, such as greeting and assisting visitors or callers and handle their inquiries or direct them to the appropriate persons according to their needs.
Answer telephones and give information to callers, take messages, or transfer calls to appropriate individuals.
Operate office equipment, such as fax machines, copiers, or phone systems and arrange for repairs when equipment malfunctions.
Keep records of customer interactions or transactions, recording details of inquiries, complaints, or comments, as well as actions taken.
Scheduling appointments and organizing meetings
Make copies of forms, and or documents for clients, fax, reports, and other items as requested.
Match clients with the best-suited tax preparer or insurance representative for their needs.
Manage cash, credit, or check transactions, ensuring accuracy of daily drawer reports.
Based on business needs, participants will be assigned to clean and maintain office such as (empty trash cans, sweep, etc.)
Other duties as assigned.
Requirements and Qualifications:
This role involves diverse duties that include supporting staff, communicating with clients, and managing administrative tasks. Customer Service Representatives also need a wide range of skills and should be good at multitasking and to be successful, therefore; candidate will have various prerequisite skills and qualifications including:
Must have High School Diploma or GED.
Must be 18 years of age or older.
Minimum of six to twelve months in customer service field required.
Excellent communication skills to effectively deal with clients, staff, and managers.
The ability to work with others and work independently.
Great customer service skills and a friendly, polite disposition since our business commits to provide services to our community and serve families in a daily basis.
Knowledge of computer systems such as typing, web searches, excel, PowerPoint, Microsoft Word, and relevant software programs.
Individual will be maintaining and filing documents with confidential information. Employee will hold the Confidential Information received in strict confidence and will exercise a reasonable degree of care to prevent disclosure to others.
Fluent English and Spanish-speaking skills
Communicating effectively in writing as appropriate for the needs of the business.
Experience in Tax Service and Insurance is a PLUS but not required.
Employer willing to pay for the License.
Pay depends on experience and will be discussed with applicant during interview.
