Events may include: soccer matches, concerts, festivals, college football games, filming, runs and walks, private functions, community events, and food festivals. This position assists in coordinating event logistics, serves as a liaison between internal departments and external partners, and helps ensure that events are executed smoothly, safely, and professionally. The Event Coordinator plays a key role in supporting the Event Management team and providing excellent service to clients, vendors, and guests. Essential Duties and Responsibilities: Event Management Assist Event Managers in the planning and execution of assigned events by coordinating logistics and supporting operational needs. Communicate with clients, vendors, and internal teams to help organize and deliver successful events. Help develop and maintain event documentation such as timelines, checklists, setup diagrams, and permit applications. Attend site visits, walkthroughs, and event-day operations to provide onsite support as needed. Ensure that event setups align with safety standards and meet client expectations. Participate in post-event debriefs and contribute to suggestions for continuous improvement. Assist with the coordination of contracted services, including catering, equipment rentals, and staffing. Other related duties as assigned Event Administration Report to the Senior Event Manager, while working closely with Event Managers, Coordinators, and Assistants across the department. Maintain and update internal event tracking systems, calendars, and databases. Support procurement tasks, including gathering vendor quotes, submitting purchase orders, and processing invoices. Track event-related expenses and help prepare financial documentation for reconciliation and billing. Assist in keeping stakeholders informed of upcoming event schedules and operational needs. Education and/or Experience: Knowledge of: Event Management City ordinances Business administration practices Budgeting Contract practices Purchasing Basic human resources practices Basic public safety practices Americans with Disabilities Act Proficiency in Use/Application of the following: Microsoft Office 365 Venue Ops Beanworks Skills in: Read/interpret documents Write reports/Correspondence Speak clearly/concisely Listen effectively Interface with the public Multi-tasking Community relations Problem solving Analytical Reasoning Proactive Flexibility/adapt to change Work under stressful conditions Business acumen/demeanor Independent judgment Customer service Teamwork/player Organization skills Public safety planning Education and experience: College education or equivalent One to three years' experience in sports entertainment and/or venue event management Licenses and Certifications: Class C driver's license and satisfactory driving record Material and equipment used: Computers Office machines Golf/utility cart Two-way radios Cell phone/mobile data device Pay Range: $21.47/hour - $32.21/hour The base pay range for this position may vary depending upon a number of factors including the individual candidates' experience,qualifications, skills and competencies. This base pay is part of an overall package that is designed to compensate and recognize employees for their work and achievements. This position may be eligible for additional bonuses and commission incentives.
