Job Summary:
The Front Desk Receptionist serves as the first point of contact for the Office of the President and plays a critical role in shaping the publics experience with the City. Daily, constituents, elected officials, city employees, and visitors engage with the office via phone, email, online platforms, and in person. It is essential that every interaction is handled with professionalism, accuracy, and warmth to ensure a lasting positive impression. The receptionist is responsible for greeting and assisting guests, providing accurate information, and directing individuals to the appropriate departments or resources on the first attempt. This role requires a solid understanding of the Citys services, policies, and procedures to respond effectively to a wide range of inquiries. Strong communication skills, discretion, and a commitment to excellent customer service are essential, as the receptionist represents the tone and values of the Presidents Office and contributes directly to the efficiency and accessibility of city leadership.
Essential Functions :
Front Desk Receptionist Telephone & Communication Support
Answer incoming calls promptly and professionally
Record complete and accurate messages
Route calls to appropriate staff, departments, or external agencies
Coordinate internal and external conference calls, including distribution of dial-in information
Mail & Package Handling
Follow policies for incoming/outgoing mail
Manage change-of-address notices and return mail procedures
Attach account codes (Blue Slips) to outgoing mail
Receive, inspect, and verify package contents; return or report damaged or missing items
Sign for and distribute certified, registered, and express mail
Office Equipment & Document Management
Operate and maintain copier, scanner, and fax machines
Maintain paper and toner inventory, and update staff scanner directory
Distribute incoming faxes to appropriate staff
Troubleshoot copier issues and coordinate repairs as needed
General Office Support
Perform morning opening and evening closing procedures
Keep lobby, conference room, and shared areas clean and organized
Monitor and restock general office and breakroom supplies (including water and coffee)
Clean pantry refrigerator weekly
Administrative Skills & Professionalism
Perform data entry, document formatting, and mail merge functions
Ensure documents follow office style guide
Demonstrate courteous, professional, and service-oriented behavior
Show a willingness to learn and adapt in a high-visibility role
Minimum Qualifications:
EDUCATION AND EXPERIENCE REQUIREMENTS
High school diploma or GED
LICENSE, REGISTRATION AND CERTIFICATE REQUIREMENTS

KNOWLEDGE, SKILLS AND ABILITIES
Proficient in data entry, spreadsheets, and word processing.
Experience as a receptionist or strong desire to learn the role.
Courteous, friendly, and professional in all interactions.
Strong verbal and written communication skills.
Excellent customer service and public-facing skills.
Organized and able to manage multiple tasks efficiently.
Detail-oriented with a polished and professional presence.
Quick learner, adaptable, and able to solve problems independently.

Additional Information
Background Check
Eligible candidates under final consideration for appointment to positions identified as positions of trust will be required to complete authorization for a Criminal Background Check and/or Fingerprint must be successfully completed.
Probation
All people, including current City employees, selected for this position must complete a mandatory six-month probation.
