The City of Cockrell Hill is seeking a creative, organized, and detail-oriented Event Coordinator to lead the planning and execution of memorable city events. As the primary point of contact for all municipal events, this role is essential in fostering community engagement, enhancing city branding, and ensuring smooth event operations from start to finish.

Education & Experience:

Associate degree in hospitality, business administration, or a related field, and at least 1 year of event coordination experience

OR

High school diploma or GED with 3-5 years of relevant experience in event planning or a related field

Skills & Requirements:

Valid Texas Class C Driver s License

Must pass background check, drug screen, and physical exam

Strong customer service and communication skills

Creative and enthusiastic approach to problem-solving

Ability to multitask, stay organized, and work under pressure

Proficiency in Microsoft Word, Excel, Outlook, and web/social media platforms

Must be detail-oriented, proactive, and a team player

Key Responsibilities:

Event Planning & Coordination:

Develop event concepts in line with community interests, City Council directives, and City Administrator goals.

Plan and execute all phases of city events, including logistics, vendor coordination, budget management, and post-event follow-up.

Manage event setup, on-site operations, and teardown; ensure all activities run smoothly.

Coordinate event entertainment, including music, performances, and special guests.

Lead pre-event and post-event meetings with stakeholders and staff.

Sponsorship & Community Partnerships:

Proactively seek sponsorships, donations, and in-kind contributions from businesses, organizations, and individuals to support city events

Build and maintain relationships with community partners and donors

Develop sponsorship packages and recognition opportunities to encourage participation

Ensure all sponsors and contributors receive appropriate acknowledgment before, during, and after events

Communication & Promotion:

Serve as the central communication hub for all city events.

Create flyers, invitations, programs, and promotional materials for print and digital distribution.

Promote events through the city s website, social media channels, newsletter, and community outreach.

Ensure all event details are communicated to department heads and relevant staff.

Technology & Administration:

Maintain detailed records of event plans, budgets, expenses, vendor contracts, and outcomes.

Utilize Microsoft Office Suite and other tools to manage scheduling, reports, and communications.

Update and manage the city website and social media with accurate event information.

Staff, Community Service & Volunteer Management:

Recruit, schedule, and supervise part-time event workers, community service, volunteers, and temporary staff

Provide clear instructions and training to ensure smooth event setup, operations, and teardown

Serve as on-site team leader during events, addressing staff needs, assignments, and problem-solving in real-time

Ensure all staff follow city policies, safety protocols, and customer service standards

Special Events & Support:

Coordinate city employee events such as the annual holiday party, luncheons, retirements, and recognitions.

Support administrative staff with planning internal events and special projects.

Prepare monthly event reports and updates for the City Administrator and City Council.

Work Schedule:

Schedule: Includes evenings, weekends, and holidays as required

Work Model: Primarily in-person with limited hybrid flexibility based on event schedule and administrative needs

Work Environment & Physical Demands:

Work performed in both office and outdoor event environments

Occasional lifting, bending, standing, walking, and physical activity during events

Must be able to work flexible hours, including evenings, weekends, and holidays

Must be able to work under pressure in a fast-paced environment

Benefits:

Longevity Pay:

Employees receive longevity pay each December based on their continuous years of service with the city.

Retirement: Participation in the Federal Social Security System

Option to enroll in a 457(b)-retirement plan (employee-funded)

Not eligible for TMRS (Texas Municipal Retirement System) due to part-time status

Other Notes: This part-time position is not eligible for paid time off, paid holidays, or health insurance benefits.
