Summary of Position:

The Sales and Event Coordinator plays a vital role in the overall organization and success of the Sales Department. The Sales and Events Coordinator role is responsible for the completion of various administrative functions while providing excellent customer service to clients by handling corporate events, elopement weddings, local/social events, and in-house events.

Essential Functions :

Support the Sales and Catering Team with day-to-day department needs such as file creation, in-house function event orders, resumes, amenities and pre-convention meetings (pre-cons).

Greet clients/guests on the phone and in person in a professional manner. Assist clients where possible.

Book Complimentary Rooms at the request of Sales and Catering Directors

Handle Group Housing tasks as assigned

Distribute reports as needed/requested

Prepare and maintain monthly event calendar on a weekly basis for the hotel

Update the hotel shared Event Calendar on Outlook with all events

Ability to multi-task, organize projects and work at a self-directed pace.

Drafts Resumes for Department, sending to prospective Sales Directors/Manager and Event Manager for completion and feedback

Responsible for the efficient and professional coordination of any assigned corporate event and elopement weddings, local/social events such as birthday parties, celebrations of life, showers, and single day meetings.

Handle assigned groups including, but not limited to, introduction letters to clients, preparing event orders from client specifications, typing resumes, and all other materials pertaining to upcoming events.

Ability to handle multiple tasks with efficiency and ease

Highly organized

Knowledge of Salesforce event management system, a plus

Knowledge of resort food/beverage and operations, a plus

Ability to work well in a dynamic environment, where the need for adaptability, flexibility, and quick thinking are commonplace

Ability to maneuver up and down stairs and to all areas of property

Able to communicate effectively in English

  • Respond in a timely manner to internal and external customers
  • Systematically establish, build and maintain positive relationships with clients
  • Establish a positive and professional presence and rapport with internal and external customers
  • Design and sell events that meet client needs while being creative and maintaining profitability (revenue generation, maintaining profit margins and food/beverage costs)
  • Protect the Resorts assets by maximizing revenues, optimizing use of on-site inventory and function space, and protecting the physical property
  • Conduct planning sites as needed
  • Maintain accurate information and revenues in Salesforce, at all times, to ensure accurate forecasting
  • Introduce key operations personnel to client or on-site contact
  • Follow-up with clients after function to ensure customer satisfaction, address any challenges, and solicit rebooking
  • Follow-up, in a timely manner, with event involved departments and appropriately communicate any necessary feedback
  • Provide final banquet checks to Group Housing and Billing Manager to collect final payment according to contractual terms and work with billing to ensure all monies are collected in advance or as defined by the contract
  • Continuously follow up, in a timely manner, to gather all pertinent information from customers
  • Interface with outside vendors as needed

Accurate and timely preparation of event orders, set-up diagrams, group resumes, and other informational forms

Work with all internal departments to coordinate the needs of groups

Establish rapport with and entertain meeting planners while promoting hotel facilities and services

Plan and conduct pre- and post-convention meetings with clients and respective departments

Comply with the Marc & Rose Pillars and Essentials of conduct as set forth in the resort communications.

Other tasks as assigned by the Director of Catering and Events, Director of Sales and/or General Manager

Personal Characteristics:

Communicates Effectively: Speaks and listens in a clear, thorough, and timely manner, effectively reading and writing, using the English language

Professional Appearance: Exhibits an appearance appropriate for a luxury hotel (Specific grooming standards are available for review)

Qualifications:

Education: High School Diploma or equivalent preferred.

Experience: Minimum of one (1) year in hospitality sales and/or Catering/Event Management, Event Planning experience preferred.

Knowledge, Skills, and Abilities:

Knowledge of hotel food and beverage, Salesforce and basic AV equipment

Ability to utilize OPERA, Salesforce, Microsoft Office including Word, Excel and Outlook

Ability to effectively deal with internal and external customers, some of whom will require high levels of patience, tact and diplomacy to defuse anger, collect accurate information and resolve conflicts

Ability to resolve conflicts in an effective manner

Ability to lift, grasp, carry and/or push up to 20 pounds

Ability to work a flexible schedule, as well as being able to work shifts requiring standing, walking throughout the hotel or sitting for long periods of time

Ability to learn and demonstrate the Resorts service standards, AAA Diamond standards, and guest survey standards.
