Purpose of Position : To greet and screen all visitors; to answer all incoming telephone calls and take messages as necessary; to receive and record all donations; to supervise the reception area and cameras; to be the ambassador of Mercy Home for Boys & Girls to anyone visiting the Agency.

In this role, you will:

· Ensure that all visitors have signed in the Visitor’s Log or have been entered in the Easy Lobby visitor screening system used by the Agency

· Have sufficient understanding and abilities to operate a computer and other general office equipment i.e. a copier/printer, fax, scanner, desk phone, as well as the fire alarm panel and Genetec camera system

· Receive the general public by telephone and in person and provide information and/or directions in response to the individual query for the entire organization.

· Be a helpful, courteous and professional representative of Mercy Home for Boys & Girls, demonstrating cross-cultural sensitivity and discretion.

· Accept packages and all donated items, inspect items, complete the Donation/Donor form, and process/distribute to appropriate person(s)

· Accept all phone calls promptly. Check voicemail for messages and forward any information to the appropriate staff for follow-up that is needed/required

· Assist with printing route sheets for school transportation for the youth sometimes when requested

· Keep track of all keys, temporary badges, gas cards, etc. that are kept at the reception desk

· Pass out gas cards when staff need to get gas for agency vehicles, collect and log all gas card receipts

· Maintain a daily visitor log authorizing admittance to the Home and all front desk books/binders

· Call staff to receive their guests or, when otherwise instructed, direct visitors to their destination.

· Maintain room reservations, appointment/schedule in Outlook and on desk calendar for all meeting rooms, office spaces, etc.

· Keep track of which youth are suspended from program or AWOL in order to know who belongs in the building and who does not.

· Oversee the reception desk and lobby area and maintain cleanliness and organization while on duty.

· Make sure the reception desk is covered at all times when on duty.

· Call the programs to announce youth arriving or returning back to grounds/program

What we need from you:

· A pleasant disposition and helpful attitude.

· Experience in reception or customer service preferred.

· Excellent interpersonal, oral, and written communication skills.

· Ability to present a professional appearance.

· Ability to develop a working knowledge of the operations of the entire Agency and staff.

· Ability to interact effectively with the entire staff, residents’ families, volunteers and the general public.

· Ability to work in an environment in which the noise level is moderate.

· Flexibility to provide administrative support as requested including working a flexible schedule when needed.

· Detail oriented.

· Proficiency in PC systems, including Microsoft Word and Excel, as well as the ability to become proficient in other software packages and programs as necessary.

· Ability to maintain confidentiality.

· Ability to work both independently and as an active team member.

· Ability to maintain professional demeanor while exercising judgment and discretion in work.

· Ability to follow oral and written instructions.

· Ability to lift and/or move up to fifteen pounds.

· Must have a valid Illinois driver’s license, the ability to drive a van, maintain a clear driving record, and retain driving approval through the Department of Children and Family Services.

· Maturity and sensitivity to cultural and individual differences.

· Commitment to the mission, values, and goals of the Agency.

· Predictable and consistent attendance.

Basics Information / Schedule Details

This job is a part-time position (25 hours per week). The s chedule Monday- Friday 7am-12pm.

Pay range is between $20-$21/hour
