Qualifications:
- Associate degree preferred or any equivalent combination of training and experience which provides the required knowledge, skills and abilities
- Public school experience preferred
- Proficient in using basic computer software (Microsoft Word, Adobe Acrobat, Google Docs, PowerPoint, email, etc.)
- Proficient in using office equipment (multi-line switchboard, printer, scanner, fax machine, etc.)
- Communicate effectively
Essential Job Functions:
- Answer Central Office switchboard phone calls in a pleasant, informed manner for the purpose of providing information and creating a good image of the district
- Responsible for covering front lobby at all times and maintaining a professional atmosphere
- Forward requests for information and messages to the appropriate individuals
- Respond to inquiries for the purpose of referrals and directions as may be required
- Maintain a desktop manual w/FAQs, processes and procedures
- Manage telephone message system (office hours, inclement weather and other recorded messages)
- Assure the switchboard is covered during working hours in addition to training and provide direction for personnel coverage
- Interact and answer questions professionally and appropriately with vendors, the public, and district staff in person, via telephone, or via email
- Greet visitors to the Central Office in a pleasant and informed manner
- Maintain district safety by controlling access via the reception desk
- Keep work area clean and presentable to guests while also ensuring that confidential information is secure at all times
- Process student records requests and arranges management of records
- Coordinate the annual student records cumulative file scan and archive process
- Responsible for managing background checks of volunteers for all schools
- Responsible for onboarding all newly hired substitutes and coaches
- Serves as single point of contact for all substitutes and coaches
- Maintains all records for substitutes and coaches
- Coordinate with and assist HR Office Manager with various HR functions throughout the year to include Teacher of the Year/Principal of the Year banquets, job fairs, retirement reception
- Assist with recruitment and retention efforts
- Maintain confidentiality of information regarding staff and students
- Perform other clerical tasks as assigned including word processing, creating databases, typing letters, proofreading, etc.
- Perform other duties and responsibilities as assigned by supervisor

Work in this classification is considered light physical work requiring the exertion of up to 20 pounds of force occasionally and a negligible amount of force frequently or constantly to move objects.
