RECEPTIONIST

DEFINITION:

The Receptionist, under the supervision of the Deputy Superintendent, Personnel Services,

operates a centralized telephone switchboard system at the District office; greets and assists

visitors to the District office; and performs a variety of clerical support duties.

ESSENTIAL DUTIES:

Operates a centralized telephone switchboard system, directing calls to appropriate

personnel; receives and transmits messages; provides general information to callers as

needed.

Greets parents, students and other visitors; directs and announces visitors to proper

departments and personnel.

Performs general clerical duties including data entry, duplicating and typing a variety

of materials including correspondence, labels, reports, requisitions, memoranda and

other items.

Operates a variety of office equipment including a computer, typewriter, fax machine

and copier.

Prepares and maintains a variety of records, lists and logs as assigned.

Maintains a professional atmosphere in the reception lobby.

Assists other departments as needed.

Performs related tasks as required.

QUALIFICATIONS:

Knowledge of:

Operation of a centralized telephone system.

Proper English grammar, punctuation, composition, vocabulary, and oral expression.

Acceptable telephone etiquette.

General office practices, procedures, and equipment.

Health regulations and safe working methods and procedures.

Proper lifting techniques.

District policies, rules and regulations.

Ability to:

Answer telephones and greet the public courteously.

Efficiently work with frequent interruptions.

Operate a variety of office equipment, including computers and assigned software.

Work cooperatively with others.

Understand and follow oral and written instructions.

Observe health and safety regulations.

Education/Training/Required Certification:

High school graduate or equivalent.

PHYSICAL DEMANDS

The physical demands described here are representative of those that must be met by an

required by this job include close vision, distance vision, color vision, depth perceptions, and the

ability to adjust focus.
