Provide exceptional service to clients, guests, and team members by maintaining accurate schedules, providing timely and accurate responses to inquiries, and maintaining a clean and organized work area.
Special Instructions Some weekends Responsibilities- Greet clients
- Make client appointments for spa services ensuring relevant and accurate information is collected and entered into system
- Drive desk sales and achieve targets for promotions and treatment launches.
- Enroll clients in special programs or memberships
- Answer telephones, ensuring callers needs are addressed
- Receive payments for goods and services and properly account for all transactions and monies.
- Reconcile daily and monthly sales, deposits and receipts as outlined in appropriate policies and procedures
- Handle and assist as needed with client retention and with any issues that may arise related to customer service
- Maintain medical spa and its environment by checking equipment as directed, light cleaning, and maintain retail inventory on display
- Assist as needed with lifting and storing equipment, product displays and preparing for special events
- Keeping the reception area clean & tidy
- Preparing schedules for the next days arrivals, making sure the treatments booked are accurate and booked in a suitable time frame
- General administration duties including ensuring the required information and items needed are replenished and ready for use by inventorying and preparing appropriate requests for replacement
- Participate in all spa treatment and service training programs
- Accountable for completing special projects as assigned
- All other duties as assigned
EducationAssociate Degree in business administration or other related discipline preferred with two years experience in office management, preferably in a clinic/hospital/medical spa setting; or High School Diploma or GED with a minimum of two years experience in office management, preferably in a clinic/hospital/medical spa setting.
Minimum Work ExperienceHigh School Diploma or GED with a minimum of two years experience in office management, preferably in a clinic/hospital/medical spa setting
Required Skills, Knowledge, and AbilitiesCustomer Service experience, preferably in a spa environment. Excellent communication, customer service skills and work ethic. Proficient in appropriate computer skills and office equipment. Previous cash handling experience.Ability to handle multiple tasks simultaneously. Ability to explain services and products to clients. Retail Sales experience and skills preferred.Excellent verbal and written skills.Knowledge of the type of treatments and products available and ability to explain their benefits to clients.
