Senior Receptionist & Switchboard Operations

Position Summary

The Senior Receptionist plays a key role in maintaining a professional image of the company by delivering prompt, courteous, and efficient service to visitors, employees, and callers. This role also includes light administrative duties and oversight of switchboard operations in a high-volume, professional environment.

Key Responsibilities

  • Greet visitors, issue visitor badges, and notify employees of their arrival.
  • Activate temporary access badges for employees as needed.
  • Answer and route global calls, including confidential inquiries, using the company-wide switchboard.
  • Prioritize and escalate customer service issues appropriately.
  • Maintain and update company phone and speed dial lists.
  • Train and guide backup reception staff on policies and procedures.
  • Notify employees of inbound deliveries or redirect to the Mail Room.
  • Provide light administrative support (e.g., issuing access cards, scheduling rooms, compiling materials).
  • Proactively seek additional tasks during downtime.
  • Follow up on loaned access cards and coordinate with Security if not returned.
  • Maintain a clean and organized reception area.
  • Build professional relationships with internal teams and visitors.
  • Perform other duties as assigned by the Site Manager.

Qualifications

  • High school diploma required.
  • 8+ years of experience as a receptionist in a busy switchboard environment preferred.
  • Experience in a corporate or headquarters setting preferred.
  • Typing speed of at least 40 WPM.
  • Flexibility to work shifts between 7:00 AM and 5:00 PM.

Skills & Abilities

  • Strong verbal and written communication skills.
  • Excellent customer service and interpersonal skills.
  • Proficient in PC use and basic clerical tasks.
  • Ability to manage high call volumes efficiently.
  • Strong organizational and judgment skills.

Working Conditions

  • Office environment with standard lighting, ventilation, and noise levels.
  • Minimal physical effort; mostly sedentary with occasional walking, standing, and light lifting (under 10 lbs).
  • Requires moderate dexterity and regular use of office tools and equipment.
  • Must interpret and apply complex information and instructions.
