Position Summary/ Department Summary:

Coordinates the lodging needs for family housing at The Bon and works to ensure the best possible patient family experience. Providing customer service skills to families traveling 50 miles away or more from the hospital for their child's health care. Including making reservations over the phone or online, explaining the housing program to families, providing tours of the housing facilities and coordinating with vendors like cleaning and linens for the optimal housing experience.

Key Responsibilities:

  • Provides positive and effective customer service that supports family housing program.
  • Confirms medical appointments to verify eligibility for lodging.
  • Administers lodging bookings for patient families in property management software.
  • Confirms reservations with families - both verbal and email, with accuracy of location and corresponding housing documents
  • Obtain payment information and run credit/debit card payments when required.
  • Coordinates with insurance for payment, if applicable
  • Reconciles payments and prepares deposits, provides record of transactions in reservation systems.
  • Maintains occupancy schedule for family housing
  • Records and forwards messages, triages calls for urgent information or services.
  • Provides routine clerical support as needed.
  • Actively contributes to departmental and organizational initiatives & projects with a focus on continuous process improvement.
  • Help with ordering and inventory of program supplies
  • Maintains organization in the office

Minimum Qualifications

Education: High school diploma/GED required

  • Excellent customer service skills, with effective telephone presence
  • Excellent verbal and written communication skills.
  • Excellent interpersonal and team skills including dealing with difficult and rude patrons and handing off duties between shifts
  • Excellent organizational skills and attention to detail.
  • Ability to work diverse patient populations: Proficiency in another language is preferred including knowledge of how to use the hospital's interpreter services for effective communication
  • Familiarity with local area with the ability to provide directions and maps to local attractions and destinations.
  • Good computer skills, with knowledge of booking systems, both in-house and online
  • Experience: 1 year + hotel or customer service experience
