CITY RECEPTIONIST - HUMAN RESOURCES DEPARTMENT (TEMPORARY POSITION)
CITY OF GALLATIN
PURPOSE OF POSITION:
This position will serve as the City's receptionist and be responsible for providing exceptional customer service as the first point of contact for citizens calling or visiting City Hall.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
The following duties are normal for this position. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned.
- Welcome guests and visitors to City Hall in a friendly, professional manner, and direct them to the appropriate department or individual.
- Handle incoming phone calls, provide information, direct inquiries, or take messages for staff.
- Provide excellent customer service to citizens, addressing any concerns or requests in a timely manner.
- Responsibilities include a variety of routine activities such as filing, faxing, copying, and directing phone and walk-in customers, performing basic data entry, creating basic correspondence and distributing mail.
- Ensure the front desk and lobby areas are clean, organized, and welcoming.
- May also be responsible for preparing reports and conducting moderately complex research.
- Provide clerical and general office support.
- Perform other duties as assigned.
MINIMUM QUALIFICATIONS:
- High School diploma or equivalent.
- Experience working in a professional office environment is strongly preferred.
- Ability to communicate in Spanish is preferred.

- Must be able to interact with a variety of visitors.
- Must maintain a high level of confidentiality and discretion in your work.
- Must possess a high level of organization and accountability.
- Must possess the ability to multi-task, work with continuous interruptions, and manage competing priorities.
- Customer service-oriented with a friendly and approachable demeanor.
- Regular and reliable attendance required.
- Experience with Microsoft Office.
- Experience with web-based software applications.
- Excellent communication skills both in person and over the phone.
- Enjoy being a self-starter and comfortable working independently with little supervision.
- Enjoy maintaining a positive attitude and promoting a positive work environment.
PHYSICAL REQUIREMENTS:
This is sedentary work requiring the exertion of up to 10 pounds of force occasionally and a negligible amount of force frequently or constantly to move objects, and some light work requiring the exertion of up to 20 pounds of force occasionally, up to 10 pounds of force frequently, and negligible amount of force constantly to move objects; work requires stooping, reaching, standing, fingering, grasping, and repetitive motions. Vocal communication is required for
expressing or exchanging ideas by means of the spoken word; hearing is required to perceive information at normal spoken word levels; visual acuity is required for preparing and analyzing written or computer data, operation of machines, determining the accuracy and thoroughness of work, and observing general surroundings and activities.
WORK ENVIRONMENT:
Works in an office setting, in generally comfortable conditions.

- Hourly rate is $20.00.
- Normal schedule is as follows: One week/month: Monday - Thursday, 7:30am - 12:30pm. Three weeks/month: Monday - Thursday, 8am - 12pm.
