Responsibilities of the Administrative Assistant and Receptionist:

The Administrative Assistant, reporting directly to the Executive Assistant, will serve as the first point of contact for guests visiting the Commission. He/she will efficiently perform various administrative functions for the agency.

  • Serves as the agency's receptionist and first contact for all visitors.
  • Answers the agency's main telephone line and communicates with callers in a professional and courteous manner.
  • Checks Outlook conference room calendars daily and assists with meeting/conference preparations. Works patiently with agency staff in planning meeting logistics. Routinely updates the distribution lists for the Commission, Committees, and various other constituent lists.
  • Assists with purchasing for the Office of the President & Executive Director, by completing all appropriate finance-related forms to include purchase requisitions, purchase orders, procurement justifications, and invoice approval forms. Serves as the P-card holder for the Office of the President, if needed. Serves as the official user for SC Pro and handles financial transactions for the Office of the President and Executive Director.
  • Maintains Office records and assists with archiving agency files according to retention rules and regulations. Coordinates digitization projects including vendor research and creation of an inventory of records prior to digitization. After each CHE meeting, coordinates the finalization of reports for submission to the state library.
  • Collects mail daily and accurately distributes mail to the appropriate Office mailbox in a timely manner ensuring that each piece of mail is date stamped.
  • Provides administrative support for other tasks as necessary.

Minimum and Additional Requirements

A high school diploma and at least three years' work experience directly related to providing administrative support.

Additional Requirements:

  • Ability to learn and understand functions, laws, rules and regulations pertinent to the agency.
  • Some experience in planning/organizing meetings and events.
  • Ability to communicate effectively in writing and verbally.
  • Ability to utilize Microsoft Office products efficiently.
  • Position requires non-essential declaration.
  • Position may be required to report to work during emergency situations.

Preferred Qualifications

An associate or bachelor's degree is preferred. An associate or bachelor's degree in a relevant field may be substituted for relevant work experience. Experience working in a customer service oriented and fast-paced environment. Proficiency in Microsoft Office Suite and Adobe products.
