The University often presents its public face through mission-driven events that build community, celebrate achievements, and advance philanthropic goals. The Special Events Coordinator is responsible for the successful planning, logistics, and execution of high-impact events for the University. This part-time position works collaboratively across departments to foster alumni engagement, donor cultivation, and institutional pride.
In addition to leading specific event projects, this role plays a key part in developing consistent planning processes and supporting a centralized event infrastructure. The position will focus on cross-unit project management, coordination, and delivery of five core events: Homecoming, Stanislav & Friends Gala, the Annual Golf Tournament, Founder's Day, and select support for the Park ICM Concert Series.
Position Accountabilities
Project Planning & Coordination
Develop timelines, task lists, and event briefs for each assigned event.
Coordinate project workflows with colleagues in Advancement, Marketing, Park ICM, and other campus units.
Maintain documentation, contacts, and templates to ensure event continuity and efficiency.
Logistics & Execution
Manage venue reservations, catering, A/V, signage, and vendor coordination.
Oversee registration processes, guest tracking, and day-of event setup and breakdown.
Serve as on-site logistics lead or team support depending on the event.
Collaboration & Communication
Partner across departments to ensure events align with institutional goals and brand standards.
Liaise with volunteers, donors, staff, faculty, and external partners involved in event execution.
Provide clear and timely updates to project stakeholders.
Post-Event Support
Capture feedback, attendance, and outcomes following events.
Document lessons learned and contribute to process improvement.
Maintain centralized records of vendors, budgets, and assets

Position Requirements: Associate's or bachelor's degree preferred. 2-3 years of experience in event coordination, project management, or related roles. Exceptional organization, communication, and attention to detail. Proficiency with Google Workspace, Microsoft Office, and project management tools. Availability for occasional evening/weekend events. Experience in higher education or nonprofit preferred. Physical Requirements Ability to travel to and from event locations. Flexibility to work evenings and weekends as required. Must be able to lift up to 25 pounds and assist with physical event setup as needed.
