Overall Purpose

The of School Receptionist is done for the purpose/s of greeting and directing visitors; responding to inquiries from staff and individuals visiting the school site; and providing requested information and/or referral to other parties.

Building Principal

Essential Functions

Answers school telephone system for the purpose of responding to inquiries, transferring calls, and/or taking messages.

Distributes items within the site (mail, special deliveries, packages, supplies, etc.) for the purpose of distributing materials to appropriate parties.

Greets individuals entering the building (visitors, parents, students, vendors, etc.) for the purpose of responding to inquiries and/or directing individuals to appropriate location in accordance with established building security procedures.

Maintains reception area materials and files (newsletters, event calendars, etc.) for the purpose of providing resource information to visitors.

Maintains building information (use schedules, staff directories, emergency contacts, etc.) for the purpose of providing reference information.

Oversees the distribution of mail/packages to staff for the purpose of ensuring delivery to appropriate personnel.

Performs general clerical functions (scheduling, copying, faxing, data entry, filing, etc.) for the purpose of supporting office operations.

Responds to emergency calls for the purpose of notifying appropriate parties to address immediate safety and/or security issues.

Marginal Functions

Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the work unit.

Required to perform multiple tasks with a potential need to upgrade skills in order to meet changing conditions. Specific skill based competencies required to satisfactorily perform the functions of the include: operating standard office equipment including pertinent software applications; adhering to safety practices and procedures; promoting activities and/or events; screening telephone calls; using general office software applications.

Knowledge-based Competencies

Required to perform basic math, read a variety of manuals, and/or present information to others; and understand complex, multi-step written and oral instructions. Specific knowledge based competencies required to satisfactorily perform the functions of the include: professional/business telephone etiquette; concepts of grammar, spelling and punctuation; keyboarding; knowledge of community resources; office equipment and technology; personnel administration practices; recordkeeping and record retention practices; and school safety and security practices.

Ability-based Competencies

Required to schedule activities and/or meetings; gather and/or collate data; and use basic, -related equipment. Flexibility is required to independently work with others in a wide variety of circumstances; work with data utilizing specific, defined processes; and operate equipment using defined methods. Ability is also required to work with a wide diversity of individuals; work with similar types of data; and utilize specific, -related equipment. Problem solving is required to analyze issues and create action plans. Problem solving with data may require independent interpretation; and problem solving with equipment is limited. Specific ability based competencies required to satisfactorily perform the functions of the include: communicating with diverse groups; maintaining confidentiality; meeting deadlines and schedules; setting priorities; working as part of a team; working with detailed information/data; making independent decisions; attending to accuracy and detail; adapting to changing work priorities; analyzing issues and determining appropriate course of action; communicating with persons of diverse backgrounds; displaying tact and courtesy; organizing tasks; and working with frequent interruptions.

Requirements

High school diploma or GED equivalent

Physical Requirements

The usual and customary methods of performing the 's functions require the following physical demands: some lifting, carrying, pushing, and/or pulling, some stooping, kneeling, crouching, and/or crawling and significant fine finger dexterity.

Generally the requires 70% sitting, 15% walking, and 15% standing.
