Job Description This role will require 3 days onsite in Mettawa, IL. The Convention Sr. Specialist will oversee/manage the Conventions in house digital technology and will manage smaller scale Conventions. Additional responsibilities include assisting Convention Managers with managing conventions budgets, coordinating with vendors to process and track POs within and maintaining the AbbVie US Commercial convention master calendar. Digital Technology Product Expert Acts as the Conference internal digital tools expert, specifically the Conference App and Dashboard. Fully comprehends the digital tools that conventions owns. Owns the National pre-show process for specific brand including setting up the Conference Connect app, Rep training/prep, and performing a quality check of the QA environment. Maintains Conference Connect by trouble shooting for National, Regional, and Local conventions for assigned brands. Enhance and trouble shoot dashboard as needed. Provides access and training to those using the Dashboard for assigned brands. Performs any ad hoc manual conventions data sorting/matching that cannot be handled via the ConCon app for assigned brands. Point person for IT. Provides directions on set-ups, issues and enhancements. Creates user materials including user guides, FAQs and communications about enhancement. Implements new enhancements including owning the requirements, schedule, tasks, follow-ups, testing, and roll out plan. Conventions Manager for smaller scale conventions Overall project/program management for smaller conventions from start to finish for each assigned convention, by managing and anticipating any budget developments, along with coordinating, booth maps, sponsorships, materials, pre-con meetings, booth staff (vendor and internal), and compliance approvals. Manage vendors. Act main contact for Associations Collaborate with Marketing leads, Finance, Customer Experience, Medical, OEC, Regulatory, Media, Public Affairs, and Marketing Ops fostering deep and continuous cross functional partnerships Conduct status updates with vendors and/or partners to monitor spend, including invoices and POs; looking for opportunities to streamline processes where appropriate. Consult brand teams in the convention space, bringing in-house and vendor/agency expertise together to strategize in achieving brand goals and objectives. Report post-convention performance, experience, and data to Brand, recommend changes for next year. Administer financial responsibilities tied to conventions Communicate with Convention Managers, vendors and Finance, requesting SOW's, maintaining the Budget Tracker and master calendar. This position works closely with finance and vendors to manage and resolve all financial related tasks Coordinate with Marketing Analytics financial team to open new POs and maintain the conventions budget tracker by updating proper details for all open POs Partner up with finance and purchasing to close out any open invoices and/or resolve any disputes in a timely manner to avoid penalties Manage and update the conventions master calendar Responsible for maintaining appropriate information, such as dates and locations for all the upcoming US conventions, and independently researches to fill in the gaps Update and consolidate the master calendar to drive efficiencies and improve overall appearance, so the information can be consumed easily Qualifications Bachelor's Degree in Business or Marketing or equivalent experience Minimum of 1+ years of hands-on work experience in client service, account or response management discipline Excellent written, verbal, and interpersonal communication skills to effectively work with team members. Strong attention to detail and fast learner who can work in a fast-paced environment with changing priorities. Some knowledge of Microsoft Office Software: Word, PowerPoint, Outlook, and Teams strong Excel skills and formula creation knowledge Must be detail oriented and organized with excellent follow-through and strong analytical skills. Manage time constraints and deadlines effectively. Ability to interact effectively with cross functional teams including internal team members and external agencies/vendors. Takes ownership and accountability by working independently under minimal supervision; proactively asks questions, identify gaps, and anticipates next steps, etc. Open to learning new technology. Candidates for this position must be willing and anticipate long workdays during conventions.
