Part-Time Receptionist (Floating) First Line Report: Visitor Services Manager Second Line Report: Community Engagement Director Employee Status: Part-Time Exempt/Non-Exempt: Non-Exempt Location: Youngstown, OH Summary – The Part-Time Receptionist (Floating), under the general direction of the Visitor Services Manager, is primarily responsible for the day-to-day operations and administration of all facility reservations, retail sales and front desk reception at Mill Creek MetroParks locations. The Receptionist (Floating) will be assigned to different MetroParks locations depending on staffing needs. It is the responsibility of the Receptionist (Floating) to complete all assigned duties, tasks, instructions and/or work orders in a safe, efficient and timely manner. - Greet visitors entering Ford Nature Center and Fellows Riverside Gardens
- Manage incoming in person, email or phone inquiries made by the general public; transfer calls as appropriate and/or take accurate messages and relay to appropriate parties
- Assist visitors by making rental reservations and completing class registrations, taking payments, resolving issues, sharing site information and creating daily reports
- Lead client tours, provide detailed information about the rental space, and promote and sell the venue for both prospective and currently booked events
- Assist with event coordination as necessary, communicating with a variety of renters, guests, and vendors
- Assist visitors by providing brochures, maps, wayfinding, etc.
- Open and secure the locations as scheduled
- Perform retail functions including accepting payments, tracking inventory and organizing merchandise
- Assist with administrative tasks including budgeting, purchase orders, file organization and invoice processing
- Monitor and maintain public displays
- Maintain and update memos, forms and other administration documents
- Manage office supply inventories including ordering and storage
- Collect and distribute incoming and outgoing mail
- Maintain high level of confidentiality in all department business
- Ensure that all organizational policies, procedures and safety practices are followed
- Provide intra-department support
- Keep supervisors informed of essential issues and report disturbance to proper authorities
- Communicate effectively and professionally with coworkers, visitors and renters
- Other duties as assigned
- Must be able to maintain a continuous positive attitude and professional appearance
- Regular and predictable attendance
- Ability to operate a multi-line phone system
- Must possess proficient technological skills and abilities including the operation of standard computer equipment, software, fax/copier and smart phone capabilities
- Excellent customer service skills, including the ability to communicate clearly and effectively to a wide variety of audiences in both verbal and written form
- Must be able to work and communicate in high-stress situations
- Ability to provide excellent customer service, including selling event venues and retail products
- Must be able to work weekdays and weekends, evenings and holidays as scheduled
- Must be at least 18 years old
- Must possess and retain a valid Driver’s License
- A minimum of two (2) years experience in a retail or reception setting
- Must be physically able to perform all tasks inherent to the position
- Ability to see, hear and effectively communicate with others
- Ability to read and interpret plans, details, specifications and operating manuals
- Ability to walk, traverse or otherwise access trails of all types, natural terrain, construction sites and all properties under control of Mill Creek MetroParks under all types of conditions
- Ability to stand, sit, bend, stoop and walk for lengthy period of time and walk up/down stairs
- Ability to sit at a desk and view screen displays for extended periods of time
