Administrative Office Assistant
Qualifications
SUMMARY:
Serves as the first point of contact with Michigan Lutheran Seminary (MLS) for many of our in-person visitors and phone calls. In addition to representing MLS and its mission, this associate is an administrative assistant who performs various support tasks as requested to ensure the smooth day-to-day operation of the office.
RESPONSIBILITIES AND DUTIES:
- Monitor secure entry doors to the Administration Office - greeting, welcoming, and directing visitors appropriately.
- Answer incoming phone calls and transfer to the appropriate individual.
- Coordinate campus mail and package services.
- Provide project support to departments and individuals, as needed; based on capabilities, training, and availability.
- Monitor equipment and supplies in copy rooms; reorder, resupply, or restock as needed.
- Provide copy services to individual teachers, as requested.
- Troubleshoot copier issues as needed.
- Process transcript and student record requests under the direction of the Registrar.
- Assist with processing student announcements through daily email, Cardinal App, and electronic displays.
- Creating and publishing events for chapel live streaming and reporting hymns.
- Assist with processing academic reports (i.e. Day 5 & end-of-term) under the direction of the Academic Dean.
- Oversee the assignment and distribution of student lockers and key fobs.
- Assist with managing and deploying the MLS volunteer network.
- Assist the Administrative Assistant to the President as needed.
- Other duties as assigned, based upon the needs of the school or department.
QUALIFICATIONS:
- Strong communication and organizational skills.
- The ability to maintain confidentiality regarding student and staff records.
- Display a friendly and pleasant personality that is willing to work with students, parents, faculty, staff, alumni, and visitors.
- Familiarity with Google Suite software and programs (Gmail, Drive, Docs, Sheets, etc.)
- Willingness to take on new tasks as necessary.
- While administrative supervision and direction will be provided, the individual should be self-motivated with good critical thinking and decision-making skills.
- Experience working in a collaborative office environment.
- Ability to follow oral and written instructions generated by department heads, committees, or others.
WORKING CONDITIONS:
- Environmental Conditions: Most duties for this position are performed indoors, in an office environment.
- Physical Conditions: This position may require occasional lifting/carrying of objects weighing up to 25 pounds, and less frequently up to 50 pounds, with assistance.
- Driving Conditions: This position may occasionally be asked to drive a passenger vehicle on school business.
