CATERING SALES & CONFERENCE SERVICE MANAGER

Department: Sales and Catering Supervisor: Director of Sales & Marketing Our Catering Sales Manager holds an important key to the hotel's success. Our Catering Sales & Conference Service Managers are designated outside sales roles with 50% of their time being out of office conducting sales calls. As the Catering Sales & Conference Service Manager you will act in a Catering Sales & Event Management role for group sales detailing corporate, SMERF and social catering events providing the highest level of customer satisfaction to external clients and internal partners with the goal of acquiring both repeat and referral business from client base. In addition to maintaining and servicing existing business, this position will be responsible for finding new business and saturating existing accounts. This position serves as liaison between the customer, the sales team and the operating departments of the hotel. Job Description: RESPONSIBILITIES / DUTIES / BASIC PURPOSE: Upsell, coordinate, manage and prepare all event documentation and facilitate through sales, property operations departments and clients. Ensure property events have a seamless turnover from sales to service and back to sales to achieve customer satisfaction/quality service while meeting/exceeding departmental revenue/profit goals.

Contact individuals and groups either personally, by telephone or by mail to promote and finalize details of upcoming/future functions and room blocks. Responsible for obtaining all necessary information concerning company policy and procedures with regard to extension of credit, modes of payment from contracts. Responsible for obtaining guarantees and distributing guarantee sheets. Make sure that the customer understands all charges before the function and that they have received a written statement regarding those charges (catering banquet check). Obtain the greatest profit possible while staying within the customer's budget and delivering full value and service. Responsible for site inspections with upcoming clients and be present at functions as requested by client or Director of Sales and act as liaison between customer and sales/banquet staff and operating departments. Work closely with the Sales Managers, F&B Manager and Chef to ensure a well-coordinated meeting and banquet operation. Work closely with Sales and F&B Manager to develop any custom menu needs and for all banquet food and beverage functions. Display a professional attitude at all times while conducting business in the office or in the field in keeping with the organization and hotel standards. DAILY / WEEKLY TASKS MAY INCLUDE:

Participate in sales department daily stand-up, weekly staff, and BEO meetings.

Solicit banquet and catering sales business, and receive and answer all inquiries relating to the catering department corporate or social and participate in community related catering events, expos, or promotions as determined by the property

Complete reader board signage with Sales Coordinator for in-house meetings or groups.

Work with Banquet teams to ensure meeting room is set properly.

Visit in-house clients daily alone or with Sales to greet and ensure all needs are met or exceeded.

Ensure that events progress seamlessly by following established procedures, collaborating with other employees, and ensuring accuracy.

Identify operational challenges associated with groups and determine how to best work with the property staff and customer to solve these challenges and / or develop alternative solutions.

Ensure all billing and pick-up accuracy and conduct a bill review with the client prior to processing final bill.

Manage group room blocks and meeting space for assigned groups.

Actively work within property management systems: CI-TY, MARSHA & PMS systems.

Work with Sales Coordinator to complete and circulate Group Resumes & BEOs for upcoming groups/meetings.

Solicit feedback from the property departments to identify areas for improvement to enhance the customers' event experience.

Conduct site tours for potential guests as well as walk-ins as needed.

Organize your office daily for tomorrow, including a detailed plan of attack.

Conducts pre- and post-event meetings as required to review / communicate group needs and feedback.

Work days and hours are determined by business levels and groups in-house. Will include some weekends and a need to be on property during events.

Other Tasks as needed, assigned or outlined.

JOB KNOWLEDGE, SKILLS AND OTHER REQUIREMENTS: 1. Previous Experience: Previous catering / event experience is desired, sales, money handling, complaint handling, guest service, work with little supervision, word-processing, 10 key calculator, copy machine. 2. Special Skills: Attention to detail, handling guest complaints and requests, salesmanship, problem solving, good concentration, responsible, confidentiality. 3. Product Knowledge: Hotel and meeting rooms procedures, competitive intelligence, banquet event orders, sales and catering contracts, reservations, hotel facilities hours of operation, filing systems, phones. 4. Other: Knowledge of city, operating structure of hotel. ESSENTIAL FUNCTIONS: Sales System Usage/Efficiency (CI/TY), Policy and Procedure Management. Effectively utilize sales and property management systems for changes/updates, guestrooms, function space, BEO layout and consistency, group resumes, menus, average checks, meeting space capacity and diagrams. Maintain accuracy of any third party diagram software. Ensure diagrams are standard in client proposals and provided to banquet operations with Group Resumes and Banquet Event Orders (BEO's). Ensure all bookings follow accounting/billing standards for audit key controls and receivables. Assure all bookings are accounted for in contract binders and up to date. Conduct semi-annual competitive assessment of banquet menu price positioning within market and adjust accordingly. Coordinate and assist in planning catering service/banquet operations through the Sales, Catering and F&B Managers. Ensure consistent client communication. Obtain guarantees for all events and ensure guarantee information is distributed to all departments. Provide customers with written statement of estimated charges prior to events. Participate in Banquet Event Order (BEO) meetings with catering manager to review upcoming events and client expectations with operations team members. Ensure event guarantees are received for all events and communicated in a timely manner to operations team members. Ensure property reader boards are accurate and posted on a daily basis. Monitor billing, banquet checks for accuracy, service charge and tax percentages, and client signatures. Audit daily Banquet Event Orders (BEO's) to accounting recap for accurate revenue reporting and billing. Successful implementation of catering free sell policies, food/beverage minimums, service charge, fees, etc. Menu and Package Development, Client Presentation Ability to solicit seasonal, traditional and non-traditional wedding and other specialty menus. Banquet Operations Standards, Communication, Client Expectations Be present at functions to serve as liaison between the customer and hotel staff. Review ESS results on a weekly basis with client follow up and effective internal communication to address and correct issues. Review client feedback at weekly Sales Meeting. Coordinate pre and post con meetings with hotel clients and operations team members. Coordinate and/or approve menu tasting events for hotel clients and communicate all details to banquet operations team members. Lead efforts to resolve conflict with clients and consult with department heads as necessary. Ensure event guarantees are received for all events and communicated in a timely manner to operations team members. Follow up on all functions to gain client feedback. Monitor banquet checks for accuracy, service charge and tax percentages, and client signatures. Review and direct the work of outside contractors and vendors to maximize revenues while ensuring set-up, pricing and follow-through meets hotel expectations and customer satisfaction is achieved. Perform additional duties as requested.
