ROLES AND RESPONSIBILITIES
Description
Performs routine (journey-level) receptionist work and complex clerical work, including operating a telephone switchboard or console. Work involves placing, answering and transferring calls; receiving visitors, providing general information compiling and tabulating data, checking documents for accuracy, transporting documents and/or stock and inventory, and maintaining files. Works under moderate supervision, with limited latitude for the use initiative and independent judgement.
Work Performed
Places, answers, and transfers calls and maintains phone logs.
Takes messages and schedules appointments.
Greets callers and visitors, answers general questions, and directs customers to appropriate staff.
Prepares/proofs correspondence, reports, purchase orders, summaries, manuals, vouchers, records, and other related forms.
Answers inquiries regarding programs and services, assists the public and staff in filling out forms, and provides information to the public by phone, fax, mail, or email.
Reviews, compiles, organizes, and tabulates data; performs calculations; and prepares charts, graphs, and tables.
Maintains files, materials, reports, and supplies.
Opens, sorts, and distributes incoming mail; prepares mail-outs; processes outgoing mail; and maintains records on postage, registered mail, and packages.
Delivers, picks up, or receives documents, payments, deposits, supplies, mail, equipment, or materials; checks for quantity and quality; or manages arrangements for repairs and services.
May conduct physical inventory.
Performs related work as assigned.
KNOWLEDGE, SKILLS, ABILITIES, AND OTHER CHARACTERISTICS
Experience and Education
Experience in operating a switchboard and receptionist, clerical, or data entry work. Graduation from a standard senior high school or equivalent is generally preferred. Experience and education may be substituted for one another.
Knowledge, Skills and Abilities
Knowledge of administrative, clerical, data entry, and office procedures and systems; of spelling, punctuation, grammar, and arithmetic; of business or program terminology, methods, and procedures; of purchasing policies and procedures; and of records administration and maintenance techniques and procedures.
Skill in the use of a telephone switchboard, computer, and office equipment.
Ability to transfer incoming calls to appropriate personnel; to greet and direct visitors; and to communicate effectively.
Ability to prepare and maintain notes, records, files, logs, and reports; to transfer stock from one location to another; and to make arithmetic computations.
Other Characteristics
Fluent in English and Spanish oral and written communications.
Must pass background check (REQUIRED)

Valid Texas Driver's License
