We're seeking a detail-oriented, dependable, and motivated Office & Travel Coordinator at our Home Office in Charleston, SC.
The Office & Travel Coordinator is a capable and friendly professional that is warm and welcoming when answering incoming calls, scheduling appointments, and welcoming visitors. As the Office & Travel Coordinator, you will also be required to organize company travel for management and order office supplies. You will assist the Director of Restaurant Operations with their daily needs, projects and tasks. You offer top-class hospitality and have the ability to communicate with members of the public and team.
A successful Office & Travel Coordinator is known for not missing a beat and proactively mitigating risk through positive problem-solving skills! You will make everyone feel welcome and at home!
Key Responsibilities
- Answering telephone calls, as well as screening and forwarding calls.
- Organizing company travel for managers.
- Ability to book and reserve travel requirements as needed.
- Scheduling and confirming appointments, meetings, and events.
- Welcoming and assisting visitors in a friendly and professional manner.
- Handling basic inquiries and sorting mail.
- Copying, scanning, and filing documents.
- Monitoring office supplies and ordering replacements.
- Keeping the reception area tidy and observing professional etiquette.
- Taking the lead on contacting vendors and coordinating office maintenance tasks.
- Assist Operations Team in any additional administrative duties and projects.
- Performing other administrative tasks for the Home Office, if required.
Requirements for Success:
- Knowledge of hospitality industry and/or 2+ year of administrative experience.
- College degree
- Exceptional ability to create a welcoming environment.
- Experience in answering and screening calls, as well as scheduling appointments.
- Ability to observe business etiquette and maintain a professional appearance.
- Proficiency in appointments scheduling and call forwarding systems.
- Experience working with word processing, spreadsheets, and emails, including Microsoft Word, Excel, and Outlook Express.
- Working knowledge of printers, copiers, scanners, and fax machines.
- Excellent interpersonal and communication skills.
- Must be effective at listening, understanding, clarifying, and resolving the concerns and issues raised by co-workers and guests.
- Flexible to work within the hours of 9am-5pm from Monday to Friday.
