JOB OVERVIEW

The Catering Assistant supports the Organization’s mission by helping ensure smooth and professional food service during educational and accreditation-related events. By preparing, setting up, and maintaining catering areas, the Catering Assistant creates a welcoming environment that supports a positive learning experience for meeting participants. They follow proper food handling and safety procedures to protect the health and well-being of all participants. Through their daily work, the Catering Assistant contributes to the overall success of the organization’s events and supports creating an environment conducive to learning.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
  • Provide catering and meeting support onsite at the ACGME Conference Center, ensuring all catering logistics are handled efficiently and all catering specifications are properly executed.
  • Assists with set-ups and tear downs of meeting rooms, including help with resetting meeting spaces according to scheduled room layouts and seating requirements.
  • Set up and maintain catered meals and beverage stations; refresh as needed and ensure timely cleanup and removal of all food and beverage items.
  • Assists with managing inventory by monitoring and replenishing stock of beverages, snacks, and general meeting supplies; notifying appropriate supervisor when restocking is needed.
  • Receive, organize, and store deliveries.
  • Maintain cleanliness and professional appearance of communal areas and spaces used for catering displays, ensuring they are clean, organized, and ready for use before and after meetings, and that proper food handling procedures are adhered to.
  • Assist with breakfast, mid-morning breaks, lunch, and/or dinner/reception services, including receiving, setting up, refreshing, and cleaning up.
  • Crosstrain with other team members to help support seamless operations.
  • Utilize an Event Management System (EMS) daily for updates or changes to catering orders.
  • Add new caterers to EMS, update menu pricing, and maintain current menus.
  • Maintain regular communication with supervisors, meeting organizers, A/V techs, and other internal team members. Collaborate during weekly planning meetings to address upcoming logistics, room changes, and issues.
  • Other Duties as Assigned: Perform additional tasks as directed by supervisor to support the overall success all meetings held in the ACGME Conference Center.

QUALIFICATIONS Minimum
  • High school diploma or GED
  • One year of experience in event planning, catering, or customer service
Preferred
  • Associate degree.
  • Proficiency with EMS scheduling software

  • Demonstrated sound judgment and dependability
  • Ability to absorb and apply new information effectively
  • Strong organizational skills and the ability to manage multiple priorities under tight deadlines

WORK ENVIRONMENT/CONDITIONS
  • Will be required to stand and walk for extended periods of time.
  • Will occasionally be required to lift, transport, pack, and unpack trunks and boxes weighing at least 30 pounds .
  • Most of the work performed is normally done in the ACGME office and/or home office with the typical physical demands of an office environment.
