What you'll do

The Admissions Concierge is responsible for ensuring that the resident admissions process is coordinated effectively and that residents and their families are fully informed and experience a high level of customer service in this process. Plans, directs and coordinates resident admissions and marketing assuring that all required paperwork is completed prior to admission. The Admissions Concierge performs all admission and marketing activities with high ethical standards and in compliance with all laws applicable to licensed and certified healthcare communities.

  • Responsible for meeting the community's census goals, including Medicare and private pay census goals, in accordance with the community's budget.
  • Results will be achieved through taking inquiry calls from hospitals, families, etc., and providing quality appointments to include warm-up, presentation, tour and closing.
  • Maintains model rooms for touring purposes, pending bed availability.
  • Ensures that responses to inquiries are handled properly, timely, and with appropriate follow-up for a 2-hour turnaround.
  • Responsible for follow-up to include telephone contact, personal correspondence, and on-site appointments with family members.
  • Properly, accurately, and daily reports all inquiries, admissions, discharges and marketing sales calls in Marketing/Admissions system leads.
  • Communicates closely with the Director of Marketing and Admissions/Clinical Liaison regarding assessments and the approval process. Assists the Director of Marketing and Admissions/Clinical Liaison as back-up for assessments and /or luncheons and networking appointments, as necessary.
  • Maintains a close working relationship with Administrator, DON, and Business Office Manager to ensure appropriate and efficient decisions about prospective admissions.
  • Knows bed availability at all times. Demonstrates a sense of urgency as it relates to census/quality mix enhancement and management. When admissions determinations are made, works with nursing and housekeeping on appropriate room and bed selection.
  • Regular, punctual attendance, and ability to be flexible in work time; scheduling occasional evenings and weekends, as needed. Availability for weekend on-call responsibilities.
  • Actively participates in daily morning meetings when asked, to alert appropriate staff members of projected admissions, room changes, discharges and appointments/tours.
  • Prepares appropriate admission papers and obtains signatures from patients or responsible parties prior to or at admission. Communicates special needs of new admissions to staff to ensure a smooth transition. Follows proper distribution of admission paperwork based on distribution chart.
  • Enters all new admissions in Matrix.
  • Completes assigned duties on Pre-Admission Screening Checklist for PAS paperwork.
  • Maintains a working knowledge of Federal and State regulations and reimbursement (Medicare and Medicaid). Has a strong working knowledge of managed care referral process.
  • Prepares all reports as required. Monitors trends for inquiry, admissions, census, conversion, closing and denials.
  • Continually monitors and evaluates customer satisfaction. Customers include new admissions, post-discharges, current residents and families, community referral sources and non-admissions. Shares results with the management team and others as appropriate to develop action plans as needed.
  • Fulfills assigned duties in quarterly marketing plan.
  • Exhibits excellent customer service skills at all times.
  • All other duties as assigned.

KNOWLEDGE, SKILLS, AND ABILITIES:

Has knowledge of reimbursement programs from payer sources and managed care referral processes. Ability to understand advertising, collateral material design/layout/production is desirable. Is a good listener and demonstrates empathy toward others. Communicates effectively, both orally and in writing. Can form working relationships with multiple and varied people and organizations and can relate professionally with all levels of facility staff. Demonstrates self-confidence and creativity. Is self-motivated and goal-oriented and able to work independently. Can define problems, collect data, establish facts, and draw valid conclusions. Has the level of personal computer skills needed to accomplish the job.
