Our client in Hot Springs, AR is seeking a reliable and professional Front Desk Receptionist to join their team. The Front Desk Receptionist will be responsible for providing exceptional customer service, answering and transferring phone calls, greeting visitors, and performing essential clerical tasks to support daily office operations. Key Responsibilities

Welcome visitors and maintain accurate attendance records to ensure participant safety.

Answer and transfer calls to appropriate staff members using a multi-line phone system.

Assist visitors who come into the office with professionalism and courtesy.

Page clients for transportation to appointments and keep records of their arrival and departure times.

Keep detailed logs of visitors and clients entering or leaving the premises.

Assist with written correspondence, printing for case managers, and preparing office communications such as flyers or ads.

Support preparations for bi-monthly board meetings and collaborate on special events by assisting with food, decorations, and other logistics.

Order and maintain office supplies, track inventory, and research pricing for cost-effective purchases.

Assist the Accounting Office with payroll preparation, timesheet verification, data entry in Excel, and distribution or mailing of payroll checks.

Maintain staff training manuals, control vehicle keys, and ensure security of the key cabinet.

Supervise clients in the lobby area, ensuring a safe and orderly environment.

Maintain confidentiality in compliance with HIPAA regulations, handling sensitive information with discretion.

Qualifications

Excellent written and verbal communication skills, with attention to detail and accuracy.

Strong organizational skills with the ability to multitask in a busy office setting.

Proficiency in Microsoft Office and Excel is preferred.

Experience with multi-line phone systems is a plus.

Ability to work independently and as part of a team while maintaining professionalism.

Must be attentive to individuals entering and exiting the building, as the Front Desk Receptionist serves as the first point of contact for clients and visitors.

Understanding of confidentiality requirements when handling sensitive information, including health and financial data.

Ability to sit for prolonged periods.

Manual dexterity to operate computers, telephones, calculators, and office equipment.

Occasional bending, stooping, and stretching to access supplies.
