Job Description:
The Operational Support Specialist is responsible for providing operational support, ensuring customer satisfaction, and managing document management. This role involves collaborating with various stakeholders, managing deadlines, and maintaining high-quality standards.
Essential Job Responsibilities
Reception Focus:
Work closely with the client's staff to assist with front office
Answer incoming telephone calls and forward to the appropriate person.
Take accurate and complete messages for those who are unavailable
Promptly greet and announce visitors in a friendly and business-like manner
Maintain a neat and organized reception desk and front lobby area
Order and stock supplies as needed
Responsible for setting up and breaking down food/beverage setups in conference rooms.
Maintain, stock and inventory catering kitchen.
Daily check and resupply copy pantries and employee lounge
Perform other duties as requested
Hospitality Services includes coordination and upkeep of client conference rooms, common areas and kitchens. Inspect and ensure that all rooms are clean, stocked with supplies and ready for continual use. Organize and distribute client kitchen supplies. Maintain inventory control and order supplies as needed.
Mail Services includes metering, sorting, and distributing mail and accountable packages per schedule.
Copy Services includes accurately producing copy, print and scan projects per written instructions.
Reception includes answering incoming telephone calls and routing to the appropriate person, will greet and announce visitors in a friendly and professional manner
Floor Coordination includes the upkeep of copy rooms and stocking of general supplies, delivery of paper, and basic daily maintenance.
Facilities Services may include hanging pictures, small office moves, cleaning services and communication with key client contacts regarding building/equipment concerns.
Qualifications & Requirements
High School Diploma or GED
Minimum of 1 year work experience preferably as a Receptionist
Previous experience in a client service field preferred
Ability to multitask with attention to detail
Ability to handle complaints with professionalism, patience, and diplomacy
Working knowledge of MS Word, Excel and Outlook
Ability to lift or move 40 lbs. or greater
Ability to grasp, lift or carry packages on a standard wheeled cart with a load capacity of 75 lbs
Ability to walk, bend, kneel, stand or sit for an extended period of time
Knowledge of BookIT or similar scheduling/reservation software helpful.
Shift: M-F 8:30am to 5:30pm
The Compensation range for this role is 17.95 to 20.67 USD per hour and may be eligible for an annual bonus. Actual compensation within that range will be dependent upon the individual's location, skills, experience and qualifications.
