The Spa Receptionist is responsible for proactively welcoming guests, for dealing with all enquiries and being knowledgeable about treatments, products and services. The Spa Receptionist is assisting guests in scheduling treatments and responding to all interactions in an efficient, courteous and professional manner to achieve maximum customer satisfaction and comfort and is complying with all Four Seasons policies, procedures and standards.
What you will do
ESSENTIAL FUNCTIONS :
-Provides a professional and relaxed service to all guests, with the highest level of hospitality and professionalism, while assisting guests with their arrival and departure at the spa and offers information to guests about other services offered in the spa as well as the hotel including:
-Proactively welcome guests with a welcome amenity, makes them feel welcome, pampers them and provide excellent service Is knowledgeable about treatments, products and services offered as well as their pricing, processes and handles gift certificate requests
-Schedules treatments to maximize use of time within the treatment schedule
-Keeps all spa reception area neat and cleans including the staff lounge, spa desk, refreshment stations and retail area. The retail area will be kept at all times in an impeccable visual appearance with sold items being re-stocked.
-Escorts guests to the appropriate locker room and provides an orientation of the area and amenities if no attendant available
-Utilizes the scheduling system Book4Time for all actions related to guest bookings and transactions as well as a source to keep guest preferences
-Recommends actively retail products to guests and continues the conversation of the therapists to conclude sales with guests with home care recommendations provided by the therapists
-Offers active gift wrapping service for guests after purchase of retail items
-Participates in pop-up spa receptions for group arrivals in different locations within the hotel
-Executes administrative tasks professionally to assure a smooth operation in regards to staff coordination, cashier and computer programs:
-Excels in multi-tasking, works comfortable with all computer systems provided by the hotel and communicates over telephone and email
-Coordinates and balances fairly bookings for the therapist team and communicates with all spa team effectively guest needs, special requests
-Applies proper gratuities for services and assigns properly product sales.
-Operates computer programs, copier, printer and credit card machines
-Sets up the day or closes the day administratively for a smooth operation
-Is in charge of the End Of Day closing and reports for finance
-Extends job duties to carry out any other reasonable duties and responsibilities within the job capability as assigned, including
-Redeployment to alternative departments / areas if required, to meet business demands and guest service needs.
-Assists spa attendants or therapists (i.e. Deliveries to guest room, retrieving, stocking folding linen in locker rooms, fitness or pool area, preparing beverages for guests, preparing guest amenities for locker rooms, etc.)
-Performs other tasks or projects as assigned by hotel management and staff.
-Advises guests of all areas of the spa and how to use each facility and the equipment.
-Follows proper payroll procedures and fills out the proper accounting papers.
-Takes retail product inventory
-Respond properly in any hotel emergency or safety situation.
-Handles any guest inconvenience or complaint swiftly, with a smile and to the satisfaction of the guest, informing management of the situation and how to resolve it.
-Works harmoniously and professionally with co-workers and supervisors and maintains good working relationships with colleagues and all other departments through working by The Golden Rule.
-Ensures safety procedures are followed and notifies Security of any hazards, accident or injury.
-Abides by all policies, procedures and protocols within the Spa Training Manual and complies with Four Seasons Category One and Category Two Work Rules and Standards of Conduct as set forth in EmPact.
-Participates actively in meetings and trainings provided by the spa management or vendors in regards to treatment protocols, product knowledge and sales techniques.
-Reports for duty punctually wearing the correct uniform/ attire, maintains a high standard of personal appearance and hygiene and adheres to the hotel and department personal appearance standards.
NON-ESSENTIAL FUNCTIONS :
-Operates the audio visual equipment and lighting system
-Assist the spa reception by escorting guests to the appropriate locker room and provide an orientation of the area and amenities if required.
-Plays singing crystal bowls to enhance guest experience in public areas following a training provided by the hotel
What you bring
-You will possess a high level of interest in fashion merchandising and display creation as it relates to store esthetics and its impact on revenue generation in the retail-hospitality industry. The most qualified candidate will have a desire to gain proficient knowledge in the retail profession as it relates to the unique resort/fashion field.
-A sincere willingness to provide service to residents, guests, and peers.
-Good organizational skills, with the ability to work independently.
-Ability to function well under pressure, set priorities and adjust to changing conditions.
-High work ethic, with a sense of responsibility for the role filled within our team.
-Attention to detail and accuracy. Able to learn and execute processes associated with computerized point of sale systems, visual planning and retail procurement/ inventory control.
