Key Responsibilities
Greet and welcome all clients and visitors, providing a professional and friendly experience from arrival to departure.
Schedule and coordinate meetings, events, and conference rooms, ensuring all necessary supplies, beverages, and technology are ready.
Answer and route incoming calls, following firm phone etiquette.
Provide administrative and clerical support, including preparing legal documents, maintaining files and calendars, and managing deadlines.
Handle mail, copy, and scanning tasks; assist with supply ordering and organization.
Maintain the front desk and lobby area with a professional and tidy appearance.
Act as a concierge for clients and visitors, offering local recommendations and assistance.
Support attorneys, paralegals, and administrative staff with value-added services.
Participate in firm initiatives, community service events, and philanthropy projects.
Monitor attorney and staff locations to direct calls and visitors appropriately.
Perform light hospitality tasks, such as offering beverages and ordering food for meetings.
Required Qualifications
High school diploma required; Associates or Bachelors degree preferred.
Minimum 2 years of related business experience; strong preference for administrative work in a law firm or legal setting.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
Excellent customer service, communication, and organizational skills.
Ability to manage multiple priorities with attention to detail.
Proactive, self-motivated attitude with the ability to work independently.
Ability to lift up to 50 lbs.
Notary certification preferred (or willingness to obtain).
Preferred Skills & Experience
Mailroom and copy center experience.
Familiarity with legal procedures and terminology.
Experience coordinating meetings and events.
