Special Events Coordinator (Full Time)
Summary:
The Special Events Coordinator at Memphis Zoo is responsible for planning, coordinating, and executing a variety of events designed to engage and delight our visitors and community partners. The ideal candidate is highly organized, detail-oriented, driven, and excels in communication and teamwork. This position requires flexible hours, including evenings, weekends, and holidays, based on event schedules. To be successful in this role, the Coordinator must have a passion for community engagement and providing exceptional guest experiences.
Essential Job Functions:
Coordinate and oversee event logistics, including planning, setup, execution, and breakdown of special events (Zoo Rendezvous, Zoo Boo, Lantern Festival, Roar & Pour, and more).
Work closely with the Director of Marketing & Events to manage event budgets, ensuring all events are delivered within financial guidelines.
Maintain detailed records, event calendars, and comprehensive timelines to ensure efficient planning and execution.
Communicate clearly and professionally with internal departments, vendors, sponsors, volunteers, and community stakeholders.
Assist in sponsorship activation, ensuring sponsor deliverables are met and exceed expectations.
Support development and execution of marketing and promotional strategies in collaboration with Marketing teams.
Evaluate and report on the success of events, including attendance, revenue, and guest feedback to inform continuous improvement efforts.
Maintain accurate inventory of event-related materials, supplies, and equipment, coordinating procurement as necessary.
Develop proposals for new events, clearly outlining objectives, logistics, and revenue goals to present to leadership.
Demonstrate strong problem-solving skills to resolve challenges efficiently and independently.
Use of electric golf cart with Zoo grounds, as needed to transport event materials or persons.
Minimum Education and Experience:
- High School diploma or equivalent.
Preferred Education and Experience:
Bachelor's degree in Event Management, Marketing, Hospitality, Business Administration, or related field.
Minimum of two years of experience in event planning or coordination.
Proficiency in diagram/rendering software and Microsoft Office Suite.

Supervisory Responsibility: This position has no direct reports, but will supervise event logistics.
Reporting Structure: Reports to Marketing Manager, Marketing & Events Director.
Position Type/Expected Hours of Work:
Full-time positions are defined as positions scheduled to work approximately up to 40 hours a week. Scheduling is at the discretion of the manager. This position regularly requires flexible hours including weekdays, holidays, and weekends including early morning, daytime, and evening hours to provide coverage during Zoo hours of operation and events.
This position is considered exempt under the federal and state wage and hour laws.
Work Environment:
While performing the duties of the job, the employee will frequently work in alternate settings between indoors (office environment) and outdoors (Zoo grounds). When outdoors this position is required to work in various weather conditions including rain, humidity, and extreme heat or cold.
Physical Demands:
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
This position requires frequent ability to stand or walk for extended periods during events. Occasional bending/kneeling, and occasional lifting and carrying of objects up to 30 pounds. Position also requires ability to navigate through Zoo grounds, with or without the use of an electric golf cart.
