PRIMARY PURPOSE:
Respond to inquiries from staff, parents, and the public; provide requested information and/or referral to the appropriate parties; direct visitors; and provide clerical support and facility support for the efficient operation of the Communications and Community Engagement Department and the Central Administration office.
QUALIFICATIONS:
Education/Certification:
High school diploma or GED
Special Knowledge/Skills:
Knowledge of school district organization and operations
Ability to work in a fast - paced environment, quickly and efficiently
Effective organizational, communication, and interpersonal skills
Ability to use personal computer and software such as Microsoft Office, Microsoft Excel and Google Documents
EXPERIENCE:
Three years of clerical experience, preferably in public education environment.
MAJOR DUTIES AND RESPONSIBILITIES:
Reception and Phones
- Receive and direct incoming calls, take reliable messages, and route to appropriate staff.
- Greet and welcome on-site visitors in a culturally responsive way, using the video doorbell and Raptor system, in a courteous manner, determine nature of business, and announce visitor(s) to appropriate personnel in accordance with district policies and procedures regarding security.
- Maintain a visitor log and issue passes/badges.
- Respond to emergency calls and notify appropriate parties to address immediate safety and/or security issues.
- Receive deliveries and disseminate materials and information to the appropriate parties.
- Maintain updated information in receptionist binder.
- Update the employee mailbox labels in addition to the maintaining the supplies in the workroom.
- Help with the organization of the vault
- Oversee the recycling of the building
- Maintain the building flags (raising and lowering the flags each day)
- Maintain the lobby (replace refreshments, CISD literature, resources on the coffee table, etc.)
Mail Duties
- Receive, sort, distribute and meter mail and other documents for central administration departmental staff and community.
- Keep mail meter machine in good working order and maintain mailing/metering supplies and postage.
- Keep weekly total postage amounts used by each campus to submit monthly to Business Department.
Other
- Work with the Superintendent's Office to assist with setting up Board and other meetings
- Assist with the transfer and open enrollment application process
- Assist with the Open Record process including organizing and redacting records
- Work with departments to assist with Special Projects
- Organize the central office art with campus art teachers (delivery and pick up). Place embossed stickers and ribbons on the district artwork each month.
- Receive, copy and process employee records for staff and deliver to Human Resources.
- Review, and respond to questions and requests for information in the district email accounts.
- Collect information and distribute the Gold Cards to qualified citizens
- Assist other departments when necessary and time allows.
- Input all central administration building work orders.
- Responsible for restocking and organizing each workroom, maintaining paper supply, ordering supplies for copiers and calling the copier company for repairs.
- Maintaining the upkeep of the soft drink machine (calling for repairs)
- Complete all other duties as assigned.
- Maintain confidentiality.

Equipment Used:
Multi-line phone system, mail meter machine, video doorbell system, Raptor registration system, personal computer, printer, copier, fax machine, shredder, and calculator.
Working Conditions:
Mental Demands/Physical Demands/Environmental Factors:
Repetitive hand motions; prolonged use of computer and telephone. Continuous sitting and light lifting and carrying (less than 15 lbs) Frequent timeline deadlines and close monitoring of folder compliance requiring organization and focus. Work with frequent interruptions; maintain emotional control under stress.
