Receptionist

REPORTS TO : Director of Property Management Strategy

STATUS : hourly/ part time

POSITION SUMMARY

Acts as a Receptionist and performs various tasks around the office as needed.

ESSENTIAL JOB DUTIES AND RESPONSIBILITIES

  • Answer phone calls and forward messages when needed.
  • Greet guests and clients as they arrive for meetings; direct them to the seating area, offer water/coffee, contact the person with whom they are meeting when they arrive
  • Assist residents with concerns by taking messages, reaching out to property management, following up, and tracking results.
  • Assist with setup and welcoming employees for new hire orientation. This includes setting up workstations, ordering lunch, and ensuring all employees have what they need.
  • Keep the office clean and organized; organize, clean up, and stock the conference rooms at the end of the day.
  • Refills paper trays in printers, restocks kitchen areas, and keeps the bathroom stocked at the end of the day.
  • Communicate with property management and vendors regarding customer service needs/ work orders for office equipment and office property management.
  • Stocks, orders, and distributes office supplies, and conducts an inventory of low supplies for orders
  • Helps manage conference room calendars and set up for Solidago needs. This includes setting up meetings, ordering food, etc.
  • Set up new phones and computers
  • Help with setting up events/celebrations in the office.
  • Ordering and picking up lunch orders for big meetings/new hire orientations, and helping to organize the conference room
  • Assist/back up the office manager as needed

MINIMUM SKILLS AND ABILITIES

  • Fluent in Spanish is preferre d
  • Ability to sustain a high level of energy and be passionate about the work.
  • Ability to establish goals and priorities: perceive and analyze situations requiring attention and perform duties in a timely manner often under pressure.
  • Manage a variety of priorities simultaneously.
  • Strong verbal, written, organizational, and interpersonal skills.
  • Ability to use judgment and discretion; to keep confidentiality; to exercise tact and diplomacy.
  • Experience with Office 365, Excel, Word, Adobe and
  • Uses telephone and SharePoint computer extensively throughout the workday.
  • Sits, reaches and lifts intermittently throughout the workday. Lifts, pushes, pulls, and moves equipment, supplies, etc., of ten (10) pounds throughout the workday.
  • Ability to work four days per week; at least six hours a day.

WORK CONDITIONS

You are required to work in the corporate office setting, which will include:

  • Moderate noise (computers, phones, printers, light office traffic)
  • Climate-controlled environment
  • Office environment with enclosed spaces and cubicles.

PHYSICAL DEMANDS:

To successfully perform the essential functions of this role, the employee must be able to engage in routine physical activities such as standing, walking, sitting, climbing, stooping, squatting, and using hands for typing and handling materials.

Employees must be capable of lifting or moving items up to 20 pounds and possess adequate visual abilities, including close and distance vision, color and peripheral vision, depth perception, and the ability to adjust focus. Occasional travel may be required for training, property support, or other job-related needs.
