JOB DESCRIPTION:

Under close supervision, answer and direct incoming calls and direct visitors to appropriate party.

ESSENTIAL DUTIES:

  • Answer incoming calls, provide general information, and direct callers to the appropriate party or voicemail.
  • Greet visitors, maintain a visitor log, announce guests to the appropriate party, and direct them to the waiting area, offering beverages when available.
  • Maintain a professional demeanor and represent the company with pride at all times.
  • Keep the reception area, kitchen and adjacent conference areas neat and orderly.
  • Build strong rapport with clients, vendors, contractors, and building management.
  • Expedite emergency calls by contacting vendors, building management, or other relevant individuals.
  • Provide support to administrative staff when needed: in Microsoft Office, Windows, Adobe, or compatible software.
  • Maintain conference room schedules.
  • Process invoice payments.
  • Manage mail, including FedEx, USPS, and courier deliveries.
  • Assist with clerical projects, including mailings and email correspondence.
  • Adhere to all company policies and procedures..

SKILLS, EDUCATION AND EXPERIENCE:

  • High School diploma or General Education Degree (GED) required
  • Previous office experience preferred
  • Good telephone techniques and communication skills
  • Strong ability to handle multiple tasks, such as incoming calls, guests and faxes
  • Must possess ability to act competently in a crisis situation while maintaining a calm and professional manner
  • Ability to be cooperative with other employees to ensure a smooth running, effective office operation
  • May perform other duties as assigned

WORKING CONDITIONS: Normal working conditions with the absence of disagreeable elements

HOURLY RATE: $27.88 - $31.25
