The Sourcing Specialist / Meeting Planner plays a critical role in the strategic planning and execution of internal and external eventsincluding conferences, sales meetings, offsites, and customer experiences. You will lead venue sourcing, vendor negotiations, budget alignment, and collaborate cross-functionally to ensure each event aligns with business goals and delivers value. We are seeking a detail-oriented and highly organized Sourcing Specialist/Meeting Planner with experience using Cvent.
Responsibilities:
The primary responsibilities for this role include (but are not limited to):
Sourcing & Contracting
Source and evaluate venues, hotels, and event spaces for domestic and international events
Negotiate contracts with hotels, transportation, AV, and other third-party suppliers
Secure competitive pricing, value-added services, and ensure compliance with internal procurement policies
Track and report on cost savings and value delivery
Event Planning & Logistics
Partner with internal stakeholders to understand event objectives, audience, and success metrics
Develop detailed planning timelines and logistical documentation
Manage event registration tools, attendee communication, and rooming lists
Coordinate on-site logistics including catering, and technical requirements
Budget & Reporting
Build and manage event budgets, track actuals vs. forecast, and reconcile post-event expenses
Generate post-event reports, metrics, and feedback summaries to drive continuous improvement
Collaboration & Communication
Work cross-functionally with marketing, sales, customer success, and executive leadership
Act as the liaison between internal teams and external vendors
Ensure a consistent and premium experience aligned with brand standards
Required Skills and Abilities:
5+ years of experience in event sourcing, meeting planning, or corporate event coordination (preferably in a tech or B2B environment)
Proven experience in vendor negotiations and contract management
Strong understanding of event budgeting and logistics
Proficiency with event tech platform (e.g., Cvent.)
Excellent project management skills and attention to detail
Comfortable managing multiple projects simultaneously
CMP or similar certification is a plus

Compensation:
This role has a market-competitive salary with an anticipated base compensation range listed below. Actual salaries will vary depending on a candidates experience, qualifications, skills, and location. This role might also be eligible for a commission or performance-based bonus opportunities.
$75,100.00 - $139,500.00Benefits:
