Spa Receptionist, Riverbend

Opportunity

Spa Receptionists p rovide 5-star service to spa guests during arrival/departure, are able to effectively process point-of-sale/cash transactions and have a high level knowledge of spa treatments and offerings in addition to resort businesses/activities at all spa locations . Spa Receptionists a re also responsible for maintaining positive, professional relationships wit h spa staff. Spa Receptionists must have excellent communication skills (in person and over the telephone) , have the ability to multi-task and have computer/technology abilities.

SPECIFIC RESPONSIBILITIES :

  1. Able to consistently provide service and maintain cleanliness standards at a Forbes 5-Star level to preserve our rating .

  1. Proficient Property Management System (and related systems) use to correctly process transactions, complete orders and accurately book/edit spa treatments

  1. Reservation specifications:

  1. Must meet all Forbes 5-Star requirements with reservation process

  1. Ensure accuracy of all reservaitons

  1. Maximize availability utilizing therapists and resources to full capacity

  1. Knowledge of spa treatments, spa policies, spa amenities , food & beverage and overall resort options and ability to communicate with our guests

  1. Knowledge of all 90+ spa treatments available outside of menu descriptions

  1. Complete understanding of all health related contraindications associated with all treatments

  1. Support all spa retail activities outside of retail team hours

  1. Recommend and e ducate guests on all retail items (Phytomer, Skin Authority, Naturopathica, Signatue Products, Aromatherapy Associates, SpaRitual , Saltability , Moroccanoil, Bumble & Bumble , Jane Iredale, Coola, Sonoma Lavender, Ambre, NuFace , etc )

  1. Process all retail transactions paying special attention to attaching therapist names to sales for commission purposes

  1. Package all retail purchases to guest demand

  1. Receive guest feedback/complaints and, with supervision, resolve any guest/staff issues as they arise

  1. Enforce spa policies (service requirements , age restrictions, guest behavior, etc. ) with supervision/support to maintain a relaxing spa atmosphere

  1. Attendance at spa events and monthly staff meetings as communicated by supervisor to ensure satisfactory guest experiences

  1. Maintain facility safety, cleanliness and guest amenity standards with 20 minute walk- thrus

  1. Replenish guest amenity items including Spa Criser Bars, Coffee, Hot Water, Creamer and Infused Water (including AM receipe for Cucumber Water and Seasonal Options) for both upper level public spaces and Finishing Spa

  1. Ensure full upper level cleanliness

  1. Remove debris from floors paying special attention to front doors

  1. Mop/dry marble floors as needed especially in Winter months making note of salt shoe prints

  1. Clean public restroom including toilet, sink and mirror and replenish toilet paper and hand towels

  1. Wash reusable plastic cups and replenish

  1. Adherence to Forbes and Kohler H&RE grooming standards

  1. Support of spa food & beverage operations including obtaining of servicing license to uphold liquor safe handling requirements

  1. Includes preparing and serving food & beverage items outside of cafe hours

  1. Maintain cleanliness of Spa Cafe kitchen outside of Cafe serving hours (wash dishes and put away all ingredients )

  1. Compliance with Kohler Company attendance policy, safety standards and spa SOPs to create a safe and engaging work environment for all

  1. RIVERBEND SPECIFIC RESPONSIBILITIES:

    Due to the size and scope of the Riverbend spa location, associates will be required to manage reception duties, cleaning duties, and administer treatments upon request. This eliminates the needs to have multiple positions for a smaller facility .

    Reception ist & cleaning duties :

    1. Maintaining the cleanliness of the Riverbend Spa facility and equipment including but not limited to:

      1. Sauna, steam room, infrared sauna, gym, treatment rooms, etc.

      1. Replenish and maintain all locker room amenities to ensure clean, organized, and guest ready space. Including robes, sandals, rolled and hand towels, hair products, toothpaste, mouthwash, deodorant, shower amenities, and other personal care items throughout the day.

      1. Knowledge of the 20+ treatments beyond description on the menu.

      1. Attending and managing the reception desk located in the lower level to accommodate guest check-in for sandals, robes, and lockers.

      1. Required to follow opening and closing SOPs for each shift

      1. Gathering used linens from treatment rooms to do in house laundry.

      1. Linen and distribute clean linens to designated storage areas and/or treatment rooms

      1. Complete all other tasks and requests as assigned by leadership.

      1. Assist guests with booking services and handle billing transactions to ensure smooth and personalized guest experience.

      1. Proficient in using Resort Suite software to manage service bookings, guest profiles, and scheduling.

      Massage responsibilities:

      1. Meeting and greeting guests with professionalism

      1. Cleanliness standards of all areas within the spa including treatment rooms, public areas, and back-of-house areas

      1. Using proper verbiage at all times

      1. Upholding and maintain set uniform and grooming standards

      1. Knowledge of spa services and amenities

      1. Knowledge of emergency procedures

      1. Providing the highest level of technical service and adherence to SOPs

      1. Maintain continuing education criteria based on State of Wisconsin

      1. Adhering to policies put in place by Forbes, Kohler Waters Spa and Kohler Co.

      1. Perform special event treatments which can be held at various locations such as golf courses, Riverbend, Sports Core, TAC, etc. This would also include special events being hosted at the spa such as Spaliday . These services would be secondary to the positions primary function.

      1. Perform any other duties as assigned .

      Skills/Requirements

      1. High School diploma or equivalent required.

      1. Prior customer service experience within a spa environment preferred, but not required

      1. Strong communication skills and ability to work in a fast paced environment

      1. Strong detail-orientation

      1. Ability to perform tasks requiring use of multiple computer/guest management systems

      1. Obtain and Maintain liquor servicing license.
