Pay: $15.50 - $19.71 / hour plus a 5% Bilingual Differential rate on-top of your base pay

Schedule: Monday - Friday (8am - 5pm)

General Position Summary

Provide administrative support to all Catholic Community Services programs.

Minimum Qualifications

  1. High School Diploma or GED or equivalent training and office/secretarial experience is required.
  2. Must be proficient in Microsoft Suite.
  3. Prior customer service experience is a plus.
  4. Bilingual (Spanish/English) is required.

Essential Position Functions and Key Work Processes

  1. Greets all walk-in customers and staff respectfully and professionally.
  2. Answers telephone promptly, respectfully, and professionally. Screens and directs calls; assists caller in locating appropriate staff in a respectful manner. Provides Spanish translation for phone calls and clients.
  3. Defuse situations and provide general information to clients on the phone and/or in person; determine need for crisis intervention or immediate attention of the counseling staff and/or the nurse practitioner, and proceed according to proper crisis procedures.
  4. Makes and cancels appointments on computer and provides information to customers regarding appointment times.
  5. Notifies staff member of clients arrival and ensures they receive customer in a timely manner.
  6. Distributes and collects “Customer Satisfaction Survey” forms as requested by Program Directors.
  7. Keeps reception, waiting areas, and restrooms neat, tidy and free of clutter.
  8. Ensures individual client confidentiality at all times.
  9. Instruct customers regarding their right to file grievances.
  10. Maintains professional demeanor and behavior; dresses in business casual attire.
  11. Ensures supply of intake paperwork is available for multiple programs and resources.
  12. Ensures mail is prepared for pickup. Sends all mail, incoming faxes, and miscellaneous items that are received at the reception area to the appropriate staff and/or destination.
  13. Takes payments and writes receipts as necessary.
  14. Assists with reminder calls as required.
  15. Performs other duties as requested by supervisor

  2. Follow the policies and procedures of CCS as outlined in the Organizational Operating Procedures, Standard Operating Procedures, and the Employee Handbook.
  3. Follow all safety measures as required by OSHA and Catholic Community Services.
  4. Follow confidentiality expectations regarding the internal and external people we serve.
  5. Understand and adhere to the Principals of Catholic Social Teaching.
  6. Support multiculturalism by treating all people with dignity and respect, not engaging in any discriminatory behavior, participating in four hours of diversity training each calendar year, and support the program’s cultural competency goals.
  7. Act as a team member including, but not limited to active participation, working well with others, and supporting team efforts and goals.
  8. Use a solution focused/problem solving approach when conducting agency business.
  9. Provide and maintain professional, respectful communication with all persons while representing CCS.
