Join in our commitment to the Museums goals and mission with regular support to our Executive Administrator and with daily administrative and office operational duties to Board committees, other departments, volunteers, donors and staff. In the absence of the Executive Administrator, you will provide support to the Executive Director, CFO, Executive Staff, and the Board of Trustees as needed. Your duties will include oversight of call communications, emails, and message recording, managing of office equipment and ordering of supplies, general correspondences and electronic filing, check requests and payment reconciliation, oversight of our event and programs calendar with coordination of audio-visual contractors, mail distribution, mailings, and daily off-site delivery of US mail and FedEx, and periodic support to the Finance department with audit compliance duties.
This central role requires the following: excellent customer service, communication skills, both verbal and written; use of consistent superior judgement, both anticipating needs and following through on tasks with attention to detail; and computer literacy, including email, scheduling, data entry, and online research. It is essential to demonstrate a positive and calm presence, be consistently dependable with timely attendance, and effectively interact with diverse audiences including staff, volunteers, members and visitors. As needed, this role resolves problems collaboratively, and on a consistent basis, creates positive and harmonious Museum and public relationships.
A Bachelors Degree is preferred and a minimum of three years experience in an administrative office position is required, with computer literacy and proficiency in Microsoft Office Suite and Zoom scheduling. General knowledge or appreciation of art, Spanish fluency, and prior experience with nonprofits are a plus.
The position reports to the Executive Administrator
Schedule: Full Time, regular status, 30 hours per week, Monday through Friday
Compensation: $28.25/hour
Full Time Status provides competitive and comprehensive benefits offerings including eligibility for medical, dental, vision, pre-tax savings, long term disability, life insurance plans, and more.
