JOB DESCRIPTION:
EXECUTIVE ASSISTANT TO THE SUPERINTENDENT 1001.01AR
MINIMUM QUALIFICATIONS:
High school graduate with some college or business college background preferable.
Minimum of 6 years Administrative/Secretarial experience.
Advanced level of technology skills and experience.
Excellent communication skills.
Ability to work collaboratively with District Leadership Team members and Administrators.
Ability to assume responsibility with minimal supervision, possessing initiative and judgment in making
decisions within the scope of job authority.
REPORTS TO: Superintendent
SUPERVISES: Central Office Courier/Central Office Mail Clerk/Central Office Receptionist
JOB GOAL: Provide Administrative Assistance to the Superintendent, Communications Department, Board Attorney and School Board Members.
PERFORMANCE RESPONSIBILITIES:
Oversees the daily operation of the Central Office.
Provide administrative support to the Superintendent, Communications Department and Board Attorney
including maintaining executive calendars and appointment scheduling, open and distribute mail and email
as required and processing incoming and outgoing correspondence, receiving phone calls and directing
them to the appropriate administrator, maintaining accurate filing systems and providing other related
support services as necessary.
- Develops and Maintains district calendars, district rosters, annual meeting dates, school handbooks, filing
systems, expense reports, subscriptions, and assists with special projects, as requested.
Interacts with all levels of administration daily and maintains appropriate levels of confidentiality.
Prepares all documents, board agendas and other reports that are accurate and clear as directed by the
Superintendent.
- Provide support to School Board members by preparing electronic meeting materials, coordination of
transportation, accommodations, technical assistance as necessary.
- Attends all school board meetings creating electronic visuals of documents for the public and taking
minutes of the meeting for the Secretary of the Board.
- Act as liaison between all Professional Organizations for the school board and the Superintendent and assist
with required correspondence.
- Arranges meeting set-up for school board meetings, and any other meetings as directed by the
Superintendent. Responsible for any needed supplies, set up of technology, food/refreshments required.
- Manage and book all travel and related arrangements, for conferences for superintendent, school board
members, communications department, and other administrative executives.
Prepares departmental requisitions, purchase orders and records for payment through the MUNIS system.
Maintains the electronic files of Board Agendas, Signed Board Enclosures and Board Minutes as required
by law. Maintains the electronic backup of Board Agendas, board meeting minutes, contracts, all
policies/forms/AR documents as required by the Oldham County Records Retention Policy.
Notifies Communications Department of all meetings that pertain to the school board as required by law.
Oversees the purchasing of office supplies and vending supplies as suggested by the Central Office
receptionist.
Maintains the maintenance/service on all copiers located at the Central Office and Annex.
Maintains records of all district contracts.
Receives and Maintains all Open Records requests and processes as directed by board attorney.
Other duties as assigned by the Superintendent.
TERMS OF EMPLOYMENT:
Compensation will be determined based on 260 contract days on the board approved 112 salary schedule. This position
requires an 8-hour workday.
