JOB TITLE: Receptionist/Office Support- Oakwood Elementary School

REPORTS TO: Principal at Oakwood Elementary School

SALARY: Based on State and Local Salary Schedule (Pay Level 55)

STATUS: Permanent 12 months, Classified, Exempt

SUMMARY: The job of Receptionist/Office Support was established to provide administrative support involving secretarial duties in assigned functional areas, promoting efficient and organized operation of office activities. Employees in this classification perform both routine and non-routine administrative support duties as dictated by the nature of the work area. Work involves receiving correspondence, screening, and independently handling a variety of routine inquiries by telephone and in person, and maintaining a variety of records and files. Other responsibilities include assimilating information from a variety of sources to compose letters, generate reports and provide informational data.

RESPONSIBILITIES & DUTIES:

  • Answers school calls in a pleasant and informed manner for the pupose of providing information and creating a good image of the school
  • Manages telephone message system and communicates effectively with school personnel regarding phone messages/information
  • Greets school visitors in a pleasant and informed manner
  • Interacts and answers questions professionally and appropriately with vendors, the public and district staff, in person, via telephone , or via email
  • Keeps work area clean and presentable to guests while also ensuring that confidential information is secure at all times
  • Maintains confidentiality of information regarding staff and students
  • Forwards requests for infomation and messages to the appropriate individuals
  • Performs other clerical tasks as assigned including word processing, creating databases, typing letters, proofreading, etc.
  • Processes all incoming and outgoing mail
  • Performs other duties and responsibilities as assigned

MINIMUM EDUCATION, EXPERIENCE AND REQUIREMENTS:

  • Associate Degree preferred.
  • Graduation from high school and any equivalent combination of training and experience which provides the required knowledge, skills, and abilities

KNOWLEDGE, SKILLS AND ABILITIES:

  • Ability to prepare, read and comprehend a variety of job related forms, reports, spreadsheets, plans, records, documentation, and correspondences required by the job
  • Ability to work harmoniously with administrative and instructional staff and the Central Office staff
  • Considerable knowledge of computers
  • Comply with confidentiality requirements in local, state and federal policies and statues
  • Ability to establish and maintain effective working relationships as necessitated by work assignment

PHYSICAL REQUIREMENTS:

While performing the duties of this job, the employee is frequently required to stand, walk, sit, talk and listen. The employee is occasionally required to use hands to fingers, handle, or feel: reach with hands and arms; and stoop, kneel, crouch or crawl. The employee must occasionally lift and/or move up to 15 pounds or more at times.
