The ideal candidate is a detail-oriented team player who will be the first point of contact for visitors at the office, greeting them in a polite and well-spoken manner. You will also be assigned duties as required (i.e. organization of inbound and outbound mail, administrative work, and general clerical support to all operational areas of W.R. Case & Sons Cutlery Company).
**PRIMARY DUTIES:**
- Perform switchboard and reception duties.
- Greet visitors professionally and have them complete required paperwork, etc. as needed.
- Assist with internal and external communications as required.
- Perform office duties such as maintaining messages for information lines, process mail, filing, provide support for operational areas, etc.
- Review, track, and order office supplies for Owens Way facility.
- Prepare replies to routine correspondence within prescribed limits on own initiative or as assigned.
- Strong ability to be discrete and maintain confidentiality. Prepare and maintain confidential reports, records, and files.
- Must exercise a high degree of sound judgment in a variety of planned or unplanned situations based on knowledge of executive's function.
- Maintain visitation agenda and adjust as needed.
- Must be capable of using high degree of tact and diplomacy in screening and handling telephone calls and business contacts.
- Prepare meeting room(s) with special requests (internet, projector, laptop etc.).
- Gather attendee information and arrange travel accommodations and itineraries for travel and itineraries within the company as needed.
- Monthly copy machine meter reading and submission as well as toner ordering.
- Assist Repair and Quality Departments with documenting, sorting, and reworking of product as directed.
- Assist with monthly usage of utilities for Purchasing department.
- Assist Human Resources with special projects such as company picnics, contests, dinners, events, scheduling meetings, and generating internal communication documents.
- Assist EHS with data entry, internal communications, and scheduling training and other events.
- Perform related duties or special assignments as directed.
**Qualifications**
- High School Diploma required.
- One to two years office experience preferred.
- Demonstrated Proficiency with Microsoft Office (Outlook, Word and Excel) required. Knowledge of AX, Point Main and Data Warehouse operating systems a plus.
