Knowledge and Ability - This position requires frequent standing or sitting for prolonged periods of time. Requires eye-hand coordination and manual dexterity necessary for the operation of basic office equipment such as computer terminal and telephone. Requires ability to work quickly under high stress with patients who are irritable or confused. Work may be stressful at times. Interaction with others is constant and interruptive. Contact involves dealing with sick people.

Experience and Education - High School graduate or GED equivalent. Must have completed Medical Receptionist classes or a Medical Secretary/Receptionist Certificate program or have one year experience as a Medical Receptionist. Must have knowledge and ability in medical business office procedures. Knowledge of computer keyboard and the operation of the computer terminal and associated printer. Must possess strong interpersonal skills and be able to communicate effectively with coworkers and be able to work effectively as a team member within the surgery center.

Duties and Functions

  • Greets and admits patients in a prompt, pleasant and helpful manner.
  • Verifies and updates necessary information to ensure proper billing information.
  • Review patient insurance and scheduled procedure to provide an estimate of co-pay, deductible and co-insurance to the patient prior to date-of-service.
  • Answers telephone, screens calls, takes messages and provides information.
  • Answers questions regarding patient surgical appointments and testing.
  • Schedules patients using CERNER or from faxed scheduling form from surgeon's office. Accurately entering all information into computer system in a timely manner to ensure appropriate surgery and billing information.
  • Assembles patient's charts with Pre-registration form along with doctor's office forms and then placing into bin for scheduled day of procedure.
  • Pull old medical records for any return patients.
  • Work closely with Nursing Director regarding surgery schedule. Confirm schedule with doctor's office for the next day of surgery. Notify Nursing Director of any surgery schedule changes such as cancellations, add on surgeries or any special requests. Print all appropriate schedules for day of surgery.
  • Place all preoperative reports, H&P's or any other documents received from doctor's office in patient's folders.
  • Registers and admits patients for surgery. Print wrist band, consents, financial agreement and advanced directives form, have patient sign and place in chart.
  • Collect and post patient payment on the day of surgery.
  • Maintains work area and waiting room in neat and orderly manner.
  • Follows HIPAA Privacy and Security Regulations by Maintaining confidentiality of patient information.
  • Attends meetings as required and participates in committees as requested.
  • Performs related work as required, and other duties as assigned.
  • Assists in the orientation of new staff members.
  • Communicates questions or concerns for prompt resolution.
  • Screen visitors, i.e. pharmaceutical representatives and salesmen, respond to routine requests for information or service and direct visitors to appropriate medical staff.
  • Assumes responsibility for own actions and behaviors.
  • Completes assigned responsibilities in an appropriate time frame.
  • Demonstrates professionalism in appearance and actions.
  • Maintains knowledge of and complies with policies and procedures.
  • Maintain and order needed office supplies and surgery forms.
  • Recognizes and demonstrates cost effective measures in utilization of supplies and equipment.
  • Relays information regarding medical gas alarms and all code alarms.
  • Call for appropriate repairman when requested by administration.
