The Customer Service Associate (CSA) plays a key role in supporting customers throughout the entire order lifecycle. This role requires strong organizational skills, attention to detail, and a proactive approach to resolving and anticipating customer needs. The CSA works closely with the Sales team to ensure service excellence while collaborating with the Purchasing, Finance, Technical Service and Commercialization teams.
Essential Duties and Responsibilities
- Receive and process customer orders utilizing NetSuite and ensuring contract review is accurate and complete.
- Maintain accurate records and document all customer service activities and discussions.
- Collaborate with various internal departments to ensure orders are fulfilled based on customer specifications.
- Respond to customer inquiries, addressing questions, concerns and requests in a timely and professional manner.
- Assist with managing and processing customer quote requests, as needed.
- Build relationships with customers based on trust and respect.
- Manage difficult or emotional customer situations, responding promptly to customer needs.
- Proactively identify and resolve customer complaints, escalating complex matters to senior staff as needed.
- Maintain updated knowledge of company products and services.
- Ensures that customer communications and order progress statuses are maintained in NetSuite.
- Assist with the creation of effective customer service procedures, polices and standards using NetSuites CRM module.
- Support the Sales team with processing/tracking customer sample orders, account reports and customer follow-ups.
- Independently manage assigned accounts, including escalations, and support broader customer service functions.
- Look for opportunities to support other team members and continue learning about the company and industry.
- Perform general office duties and help the team with housekeeping tasks.
- Answer incoming calls as well as email messages simultaneous ring to bullpen.
- Greet visitors and ensure safety procedures are followed

- Experience in Oracles NetSuite preferred.
- Two years of customer service experience, preferably in a B2B manufacturing, chemical or distribution environment.
Requirements
- Associate degree in business administration, sales, or related field, bachelors degree preferred.
- Proficient in all Microsoft Office applications as well as ERP software.
Physical Demands and Abilities
- Spend long hours sitting and using office equipment and computers.
- Move from sitting to standing positions effortlessly and without assistance.
- See colors and details of objects that are less than a few feet away.
- Speak clearly so listeners can understand and understand the speech of another person.
- Occasionally lift 5 to 10 pounds.
