Job Description


Position: Office Administration/Receptionist 

This position reports directly to the Director of People and Culture. The Office Administration/Receptionist is responsible for providing administrative support to the entire office staff and ensuring efficient operations.  

Responsibilities: Include, but are not limited to:  

  • Meet, greet, and assist visitors 

  • Answer and direct phone calls, taking messages when necessary 

  • Administrative tasks (copying, scanning, typing, filing etc.) 

  • Manage incoming and outgoing mail and packages 

  • Maintain kitchen and snack areas 

  • Schedule, order, and execute office lunches 

  • Schedule, order, and facilitate field lunches 

  • Inventory supplies, proactively order, and put away orders 

  • Schedule appointments for various staff 

  • Maintain company calendar and scheduling of meeting rooms 

  • Provide support to staff and management as needed 

  • General office organization 

  • Assist with company social events, sending invites, scheduling and coordinating venues, maintaining invite lists, etc. 

  • Assist Marketing department in administrative duties, including ticket distribution, inventory of supplies, company and client wearable ordering and distribution, client lunch ordering, etc. 

  • Support the Human Resource department with administrative tasks, including conference registrations and travel logistics, food ordering for new hires and other training events, new hire wearables and PPE distribution, creation of training certificates, etc. 

Qualifications and Other Skills and Abilities: 

  • Strong organizations skills with the ability to multi-task and prioritize effectively 

  • Minimum of 2 years of experience in an administrative or clerical role required 

  • Experience with Microsoft Office products preferred 

  • Good phone presence, self-motivated, punctual 

  • Excellent communication skills, both written and verbal 

  • Ability to work independently as well as part of a team, meeting all deadlines 

  • Ability to maintain the upmost confidentiality with sensitive information 

Essential Physical Requirements and Working Conditions: 

  • Ability to sit or stand in a stationary position for approximately seventy-five (75%) percent of a workday. 

  • Ability to bend and lift 30 lbs. 

  • Ability to work in an environment which may include fumes, odors, chemicals, sawdust, and ash, (if on a jobsite). 

  • Ability to work in an environment with noises in the range of 30-85 dB (if on a jobsite).
