A Manufacturing Company in Hauppauge, NY is seeking a reliable, organized, and well-spoken Part Time Receptionist to manage our reception area and provide essential administrative support. This role is crucial for ensuring a smooth and professional front office experience for visitors and callers, and for supporting various departments with key administrative and order processing tasks. The ideal candidate will be proactive, detail-oriented, and comfortable in a multifaceted role. The schedule for this role will be Thursdays & Fridays 8am to 5pm. salary: $22 - $23 per hour

work hours: 8 AM - 5 PM

Responsibilities

  • Serve as the first point of contact by greeting visitors in a professional and welcoming manner.

  • Answer and efficiently transfer incoming phone calls to the appropriate personnel.

  • Manage the front reception area, ensuring it is tidy and presentable.

  • Order and coordinate lunches for meetings or staff as required.

  • Manage employee communications, such as sending out birthday and anniversary emails.

  • Open, sort, and distribute incoming mail.

  • Process incoming checks received via mail, including data entry into Excel spreadsheets.

  • Scan checks and other documents for digital filing.

  • Scan customer orders into the ERP (Enterprise Resource Planning) system.

  • Process customer orders received via the company website by accurately entering them into the ERP system.

  • Handle credit card processing for customer orders throughout the day.

  • Communicate effectively with customer service and warehouse personnel to ensure smooth order fulfillment and issue resolution.

  • Process and mail out leads as required.

  • Perform other administrative duties as assigned.
