Job Summary:

The Medical Receptionist Lead oversees the team responsible for a variety of tasks related to patient care and

administrative support. They greet patients, manage appointments, handle patient records, and facilitate

communication between patients and healthcare providers. Their role is crucial for ensuring a smooth and efficient

patient experience while also supporting the overall operations of the clinic.

Supervisory Responsibilities:

This position supervises medical receptionists with the support of the Practice Manager.

Essential Job Functions/Responsibilities:

• Supervises, is accessible to and provides direction to the Medical office staff. Provides administrative supervision

and oversight of required monthly reporting and department meetings.

• Assists with meaningful performance evaluations with office staff in a timely manner, relating to core

competencies, specific job assignments and areas for growth. Establishes individualized staff development goals

with each employee. Accurately assesses staff training and supervision needs.

• Assists with medical office staff recruitment, interviewing, hiring, work assignments, and develops and

implements staff orientation and training to position.

• Responsible for coordination of administrative staffing, assignments, activities and maintaining schedules

including approval of time sheets and vacation requests.

Medical Receptionist functions:

Reception

• Receive patients in a courteous and friendly manner; answer questions regarding the health center’s programs

and services.

• Answer incoming phone calls, perform initial triage, and forward calls to the appropriate staff member; take

messages as appropriate.

• Coordinate the processing of patients with nursing and provider staffs.

Appointment Scheduling

• Schedule patient appointment as per health center scheduling policies and procedures.

• Assist patients and clinical staff in the scheduling of referral appointment

Clerical

• Register patients and update computerized registration information as necessary.

• Print encounter forms for patient visits.

• Prepare medical records for new patients; update records for return patients.

• Process request for medical records to and from other offices.

• May perform some typing and photocopying as necessary.

• Participate in clerical support of audits and quality assurance activities as requested.

Quality Assurance

• Participate in the development, implementation, audit, and continuous evaluation and improvement of

protocols, services and programs provided by the health center.

Position Qualifications:

• High School Diploma or GED.

• Three years of receptionist experience (preferred).

• One year of supervisory experience.

• Able to communicate effectively with patients.

• Able to maintain confidentiality.

• Proficient in basic computers skills (email, spreadsheets, document processing).

• Physically able to perform job duties (e.g., sit for long periods, lift up to 25 lbs., use office equipment).

• Conduct self ethically.
