Primary Purpose:
Under direct supervision, provide effective school/public relations by prompt and courteous handling of all incoming calls, inquiries, and visitors; as well as provide clerical assistance for the efficient operations of the Human Resources department.
Qualifications
Minimum Education/Certification:
High school diploma or equivalent
Bilingual required
Special Knowledge and Skills:
- Effective organization, communication, and interpersonal skills
- Ability to follow verbal and written instructions
- Ability to operate multi-line phone system, personal computer and other office equipment
Experience:
One year clerical experience in office setting
Major Responsibilities and Duties:
Reception and Phones
Receive and direct incoming calls, take reliable messages, and route to appropriate staff
Greet and direct visitors to proper building, office, or person
Assist public and staff by answering or directing inquiries
Assist with mail and deliveries to Central Office
Replenish business cards and information for public and maintain professional appearance of reception area
Update the district phone list and email it out to our district on a monthly basis
Scan Human Talent documents such as new hires, resignations, change of assignments, etc.
Collect all Substitute paperwork
Maintain the district badge system
Recruiting
Register and coordinate travel and supplies for all job fairs
Applicants/Records
Screen volunteer applications
Correspond with volunteer applicants and campuses regarding eligibility status
Assist candidates and administrators with questions regarding TalentEd/School Recruiter
Assist with purging inactive personnel records for electronic media storage
Provide written and verbal verifications of employment
Verification of Employment
Retrieves faxes from outsource companies and / or firms requesting verification of employment
Fulfills request within a 24 hour deadline following all district protocols
Receives requests via phone and fulfills with limited information following district protocols
Other
Assist with the daily operations of the Human Resources office
Provide clerical support for the Human Resources staff
Assist with distributing e-faxes
Maintain confidentiality
All other duties as assigned
Professional Growth & Development:
Attend relevant workshops/seminars for staff development.
Maintain technical training on new software.
Equipment Used :
Standard office equipment (multi-line phones, personal computer, printer, scanner, copier, fax)
Specialty office equipment (badge machine, microfilm reader, postage machine, laminator, shredder)
Working Conditions:
- Work with frequent interruptions, maintain emotional control under stress.
- Occasional lifting and moving of moderate to heavy objects.
- Repetitive hand motions; prolonged use of computer.
- Occasional prolonged and irregular hours
