Job Description: The Candidate will perform various administrative tasks, including greeting visitors and guiding them through the sign-in process, answering reception phone calls and transferring them as needed. Responsibilities include maintaining sign-in sheets, managing badge tracking, and overseeing the fob system. The fob system regulates entry and building access, and this candidate will assist in monitoring this access, establish and remove access as required. The Candidate will also order and organize office supplies, coordinate food and beverage setups for meetings, and assist employees with work-related issues. Additionally, the role involves collecting and entering data into spreadsheets, updating records, and maintaining communication with vendors and management.

Job Duties:

  • Visitor Management: Greet visitors, assist with sign-in procedures, and provide directions to conference rooms. Offer refreshments as needed.
  • Communication: Answer phone calls, take messages, and transfer calls. Distribute incoming mail and maintain effective communication with vendors and management.
  • Administrative Support: Maintain sign-in sheets, track and retrieve badges, and manage the fob system, including processing new forms. Maintain all information on bulletin boards and keep information up-to-date and accurate.
  • Office Management: Order and stock office supplies, coffee, and tea. Ensure the supply closet is organized and well-maintained.
  • Event Coordination: Set up food and beverages for meetings, assist with special events (e.g., United Way), and coordinate volunteers for food-related activities.
  • Data Management: Collect and organize weekly planner reports from managers into Excel spreadsheets for submission. Acquire price quotes from vendors for events.
  • Problem Solving: Assist employees with work-related issues, providing solutions and support as needed.
  • CPR Certification Management: Organize CPR recertification classes and maintain updated first-aid kit lists.

Job Requirements/Skillsets:

  • Candidate should have at least 2 years of experience in Reception/Administrative duties, including any experience with Microsoft Office Suite.
  • Exceptional written communication and time management skills
  • Excellent analytical skills and attention to detail

Education: Individual shall possess a High school diploma or GED, trade or industrial school, with 2 years of additional experience.

Security Clearance: This position requires US citizenship and will be subject to a security investigation, must meet the eligibility requirements to obtain, and maintain a Secret Clearance issued by the US Government. In addition to the security clearance, this position may require additional background screening for base access.
