Job Title: Legal Receptionist
Location: Bellevue, WA 98004 (Onsite)
Duration: 3 Month (Temp to perm)
M-F ( 08:00 AM 5:00PM)

Responsibilities
  • Provide exceptional customer service in a legal environment to partners, paralegals, and administrative staff.
  • Professionally greet all visitors and employees; deliver a warm, polished welcome.
  • Schedule and prep meeting rooms with required supplies, beverages, and video conferencing tools.
  • Answer incoming calls per firm/Ricoh phone etiquette and maintain professional tone.
  • Participate in company and community service events or firm-led initiatives.
  • Perform light clerical and administrative duties, including:
    • Document preparation and file/calendar maintenance.
    • Drafting legal correspondence from dictation or draft.
    • Calendar management and deadline tracking.
  • Maintain an organized workspace and perform light housekeeping.
  • Offer value-added services as approved by supervisor.
  • Build and maintain professional relationships with clients and internal staff.
  • Familiarize with firm culture, key personnel, and internal expectations.
  • Follow visitor and guest security procedures.
  • Track staff and attorney availability to manage calls and walk-ins effectively.
  • Serve as concierge for guests and staff (local recommendations, directions, etc.).
  • Ensure cleanliness and professional appearance of the lobby area.
  • Order and organize office and supply room inventory.
  • Perform hospitality tasks as needed (coffee, water, catering).
  • Take on additional tasks as assigned.

Education:
  • High school diploma required; Associate or Bachelors degree preferred.
Experience:
  • 2+ years of relevant business/admin experience (preferably in a legal environment).
  • Legal document handling or admin support in law firms is a strong plus.
Skills:
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Excellent communication, organizational, and multitasking skills.
  • High attention to detail and proactive attitude.
  • Outstanding customer service and professional demeanor.

Other Preferences:
  • Notary certification is preferred.
