We’re looking for a friendly, organized, and proactive Office Administrator / Receptionist to be the face of our office and keep daily operations running smoothly. In this key role, you’ll manage calls and greet visitors with professionalism and warmth, oversee front desk operations, coordinate office supplies and catering, assist with facilities tasks, and handle mail and shipping. Key Responsibilities:
- Greet and assist all incoming visitors and clients in a professional and courteous manner.
- Answer and route incoming phone calls; monitor door access and direct individuals appropriately.
- Book meeting rooms and coordinate conference room availability.
- Receive, stamp, sort, and deliver incoming invoices and tickets to the accounting team.
- Sort and distribute all incoming mail; prepare FedEx shipments and coordinate pickups as needed.
- Track, order, and organize office supplies and kitchen/restroom stock.
- Maintain and reorder items for supply closets and storage rooms.
- Monitor and restock the conference room fridge and common areas.
- Serve as point of contact for minor facility issues and vendor coordination.
- Keep communal areas tidy and report any maintenance needs.
- Place catering orders for meetings and special events.
- Set up and prepare food service for meetings, ensuring timely delivery and cleanup.
Experience and Skills:
- High school diploma or equivalent required.
- 1–3 years of experience in an administrative, front desk, or office coordinator role preferred.
- Professional appearance and demeanor with excellent customer service skills.
- Strong organizational skills with the ability to multitask and prioritize.
- Comfortable working with Microsoft Office (Outlook, Excel, Word) and office equipment.
- Proactive, dependable, and able to work independently and as part of a team.
