Job Summary
Job Description
We are looking to hire a hard-working and skilled Receptionist. One of the most important responsibilities is being the first point of contact with our customers and presenting a friendly face for BSI. You will welcome guests and greet people who visit the business. Your receptionist duties include offering administrative support across the organization. You will also coordinate front-desk activities, including distributing correspondence, redirecting phone calls, sending invoices, receiving invoices, preparing vehicle certifications, building and maintaining job folders, monitoring email, and other responsibilities as needed.
To be successful as a receptionist, you should be detail-oriented, focused, and adept at a multitude of tasks. Ultimately, an exceptional receptionist should be able to answer the phone and greet customers in a professional manner, as well as demonstrate excellent analytical, problem-solving, and organizational skills.
Responsibilities
- Greet and welcome customers as soon as they arrive at the office.
- Direct visitors to the appropriate person and office.
- Answer, screen, and forward incoming phone calls.
- Ensure the reception area is tidy and presentable, with fresh coffee and all necessary stationery and materials (e.g. pens, forms, and brochures).
- Provide basic and accurate information in person and via phone/email.
- Receive, sort, and distribute daily mail/deliveries/invoices.
- Record incoming cash and checks.
- Create and maintain a suitable workspace to optimize productiveness throughout the day.
- Maintain supply orders and which vendors they come from.
- Perform other clerical receptionist duties such as filing, photocopying, transcribing, and faxing.
Skills and Qualifications
- High school diploma or GED
- Proven work experience as a Receptionist, Front Office Representative, or similar role
- Hands-on experience with office equipment (e.g., fax machines, printers, computers, 10-key, multi-line phone system; experience with an engraving machine is a plus)
- Hands-on experience with Microsoft Suite (e.g., Outlook, Word, Excel, PowerPoint; experience with Adobe Acrobat is a plus)
- Able to handle a cash drawer and reconcile a bank
- Professional attitude and appearance
- Solid written and verbal communication skills
- Ability to be resourceful and proactive when issues arise
- Excellent communication, time management, and organizational skills
- Customer service attitude
