Event Coordinator - $35/hr (Part-Time, 7-Month Assignment)
Payrate: $35/hr
Start Date: September 9, 2025
Schedule: 20 hours/week (Flexible, Part-time)
Location: Remote, with onsite presence required during events
Length of Assignment: 7 months
We are seeking a detail-oriented and highly organized Event Coordinator to support the planning and execution of two major in-person events scheduled for May 2026:
A 200-person People Team event in Dublin, Ireland
A 100-person Legal Team event in Austin, Texas
This role is ideal for someone who thrives in fast-paced, cross-functional environments and can manage complex logistics with precision.
Key Responsibilities
Project Management: Build and maintain a comprehensive project tracker for both events, assigning owners, monitoring deadlines, and ensuring all deliverables are met on time.
Guest Management & Communications: Serve as the main point of contact for attendees, handling travel logistics, preparing guest communications, and managing event-related inquiries. Familiarity with Navan and Reed & Mackay travel platforms is preferred.
Printed Materials & Logistics: Coordinate with presenters and content owners to create and prepare materials (agendas, signage, handouts, name tags, gift bags, etc.) and arrange for accurate printing/shipment.
Onsite Event Support: Travel to both Dublin and Austin to provide onsite coordination, event setup, and attendee support.
Additional Duties: As the events approach, take on extra planning and execution tasks. Experience with content development (slides, agendas) is a plus and could lead to expanded hours.
What We're Looking For
3+ years of experience coordinating corporate events, preferably international.
Strong organizational and communication skills; must be comfortable managing multiple stakeholders.
Prior experience with international travel logistics and understanding of visa processes (you won't answer directly, but you'll need to route appropriately).
Ability to work independently, manage multiple priorities, and adapt to shifting timelines.
Additional Notes
Candidate must have valid travel documents to attend events in both Ireland and the U.S.
Hours may fluctuate: lighter early in the contract, heavier as events approach.
Contract schedule allows for a holiday break in December (Dec 15 - early January).
